Executive Assistant - provides support to the Director of Community Programs within the Intergovernmental Relations and Community Programs Directorate. Provides administrative assistance in the planning, development, implementation and evaluation of projects.Duties
- Support the day-to-day operations of the Director, Community Programs.
- Assess and prioritise requests to facilitate optimal use of the Director’s time
- Manage the Director’s diary appointments, records and correspondence, coordinate travel arrangements, and schedule and support meetings to facilitate the effective management of their agenda.
- Draft, proof, compile and prepare documents, correspondence, papers, minutes, agendas, presentations and briefing notes in line with departmental standards and requirements.
- Delegate and supervise the preparation and review of draft responses to Parliamentary Questions and Ministerials.
- Gather, coordinate, collate and provide background information and papers for the Director to support informed decision making and planning.
- Complete routine financial transactions and purchasing services, ensuring compliance with department standards and procedures.
- Maintain and update administrative practices, financial and information management systems and procedures to improve efficiency and service delivery.
- Assist in the monitoring and reporting on physical, financial and human resources use within the Community Programs Branch.
- Maintains effective relationships with external stakeholders and other executive support staff within the Department.
