JOHNEX explosives is seeking an experienced, organised, and dedicated Executive Assistant to join our team.
This is a permanent role reporting to the Managing Director, tasked with providing a professional, responsive and comprehensive level of administrative support to the Senior Leadership Team (SLT) and head office operations.
The duties of the Executive Assistant role include:
- Managing Director calendar management
- Draft, review and send communications on behalf of the SLT
- Organising travel, accommodation and itineraries for the SLT
- Greeting visitors and delivering a professional level of service to our customers
- Answering phones, screening and directing calls to the appropriate person or department
- Taking notes at meetings, creating and preparing regular reports and agendas
- Organising various functions and events for the SLT and Head Office
- Maintaining organisation contact, employee lists and operating structure charts
- Leading the development and implementation of streamlined administrative processes.
- Overseeing the general office operations covering:
- managing providers of services including tenancy, security, parking, cleaning, consumables and supplies
- boardroom and in-office function set up, preparation for meetings and coordinating catering as required
- expense management including reconciling expense reports
- maintaining accurate and readily retrievable records of expenses associated with general office operations
Experience:
- Excellent communicator with proven experience in a similar role
- Intermediate to advanced proficiency in the Microsoft Office suite (Word, Excel, Outlook, PowerPoint)
- Aptitude for learning new software and systems
- Sound organisational skills with an ability to prioritise tasks and follow-up and drive outcomes in a timely manner.
- Proactive initiative and excellent organisational abilities.
- Self-motivated with the ability to work autonomously as well as collaboratively in a team environment
