The Role:
We have an exciting opportunity for an experienced Executive Assistant to join our growing team. The role is based in our Perth, Burswood Office, or Bunbury Head Office and responsible for providing high-level administrative support and assistance to the Executive Team, and the broader team at IPS.
- Effective diary management and administrative requirements of four Executives, with well-developed organisational, coordination and time management skills, prioritizing activities based upon importance and impact to the organisation.
- Working in a fast-paced environment able to be proactive, forward-thinking to anticipate needs, high-level judgement and decision-making skills whilst managing priorities of four busy Executives.
- Handle day-to-day administrative duties to assist the Executives to be efficient and effective in their operations.
- Prepare and manage written communication and correspondence including presentations, reports, spreadsheets, and other documents as required in a timely and accurate manner to external and internal queries and undertaking general office management tasks.
- Perform core administrative tasks, records management, meeting coordination, including drafting Agendas, taking Minutes, and monitoring action items.
- Coordinate and organise the annual staff retreat, other events, and conferences.
- Organise gifts and celebrations as required.
- Manage general logistics including travel and accommodation bookings, and community engagement including venue hire and catering.
- Manage leave records, reimbursements, and mileage forms.
- Develop and administer consistent administrative processes.
- Maintain office presentation and cleanliness, and ensure consumables are ordered and maintained.
- Coordinate office repairs and maintenance as and when required.
- General administration duties and assistance as required to support the organisation.
To be successful in this role, you should possess:
- A minimum of 3 years’ experience in an EA/PA role.
- Advanced Microsoft Office skills, including Word, Excel, and PowerPoint.
- Excellent organisational and multitasking skills with attention to detail and unwavering accuracy.
- Highly developed written and verbal communication skills with the ability to produce professional communications in line with company brand.
- Strong communication skills to interact with team members, clients, and stakeholders.
- A proactive and solution-driven approach, with a focus on continuous improvement.
- High level of professionalism and confidentiality essential.
- Ability to work autonomously, showing a high level of discretion and professionalism in daily business activities.
