- Provides high level and confidential executive support to the General Manager by understanding and triaging critical priorities.
- Coordinates and oversees Ministerial, Board and Executive processes including following-up on progress with actions, quality assurance, editing, briefing of the General Manager, and ensuring deadlines are met.
- Manages the General Manager’s calendar including coordinating and prioritising meeting requests and agendas, minutes and documents.
- Coordinates the General Manager’s email correspondence through informed prioritisation to ensure timely responses are provided.
- Drafts and/or edits correspondence, communications, presentations, spreadsheets, agendas and other documents.
- Supports internal meetings as required; including minute preparation and distribution, follow up and quality assurance of agreed actions.
- Oversees all travel logistics.
- On behalf of the General Manager, liaises widely with internal and external stakeholders including State and local government agencies, industry bodies, Board and the Executive.
- Oversees the Division’s functions, field tours and events.
- Utilises the organisation’s stakeholder relationship management database.
- Coordinates the Division’s staffing requirements, including orientations, performance management processes for people managers.
- Manages, mentors and guides the Division’s administrative support team including orientation, performance, workload, development and leave management.
- Leads small teams in operational administration projects as required.
- You will have strong experience in an Executive Assistant role or similar, providing high level clerical and administrative support to senior executive staff and/or a diverse team.
- Demonstrated high level organisational skills including the ability to work autonomously in a high intensity work environment involving multiple tasks and competing priorities without direct supervision.
- Experience effectively managing staff in a small work team environment.
- High level competence in the use of use the Microsoft suite or similar systems.
- Demonstrated professional verbal and writing skills relevant to this role including proficient proofreading competencies.
- Experience in an organisation with similar values and ethics to DevelopmentWA is highly desirable.
- Prior State Government agency experience will be highly regarded.
