About our client...Our client is a successful, well established Investment Management & Advisory firm operating from modern Melbourne CBD offices, partnering with a range of investors, this boutique style Wealth Manager with approx. 50 very happy staff have won numerous awards growing from strength to strength year upon year!
This pivotal role will appeal to a talented Executive Assistant with demonstrated experience in providing uncompromising support to C-Suite Executives in a fast paced and deadline driven environment so support a kind, friendly and supportive CEO on a 1:1 basis.
Your responsibilities will include (but not be limited) to:-
- act as first point of contact (phone, emails and correspondence) for internal and external stakeholders
- Extensive diary management – arranging meetings, conference calls with internal and external parties
- Provide admin ad secretarial support eg. drafting and typing correspondence
- Compilation of meeting packs and presentations for key clients and stakeholders.
- Preparation and collation of Board agenda and papers before each board meeting; circulate minutes post meetings
- Processing expense claims
- Booking and scheduling travel and accommodation etc.
- Navigating conflicting requirements
- ad hoc project work (as required).
About you...ideal candidates will:-
To be considered for this role you will have prior experience as a Personal or Executive Assistant at C-Suite level within a professional services environment. You will also be able to demonstrate:-
- Have excellent communication skills at all levels and a strong 'client service' focus;
- Be able to multi-task and manage competing priorities;
- Be a self-starter with a friendly pro-active team approach
- high level of diplomacy and confidentiality
- the ability to anticipate needs and identify areas for improvement
- advanced MS Office skills
- keen eye for detail
- ability to work effectively across support teams, departments and external stakeholders.
- Have a good sense of humour and enjoy being part of a busy & professional team!
