Our client in Newman have engaged us to source a temporary, experienced Executive Assistant for a three-to-six-month fulltime casual contract that could be extended. As a high-level assistant you will be supporting the CEO, Board and the Executive Leadership Team.
Key responsibilities:
- Maintaining the CEO’s diary, prioritising and arranging appointments and meetings.
- Developing, implementing and maintaining an effective executive filing system.
- Being the first point of contact of all phone calls to the CEO, welcoming and screening visitors and making delegated decisions where necessary.
- Organising meetings, teleconferences and video conferences as required, including invitations, catering and venues for the CEO and other parties as delegated.
- Arranging all travel and accommodation arrangements for the CEO.
- Ensuring all Ministerial related documents are received and registered; Liaising with appropriate staff to provide responses and following up to ensure deadlines are met for sign-off by the CEO.
- Coordinate, format and prepare reports and submissions for approval.
- Drafting internal correspondences on behalf of the CEO when required.
- Providing administration assistance to the Executive Team and other departments as and when directed by the CEO.
- Minute taking and distribution of minutes | follow up action items.
- Exceptional written and verbal communication skills.
- Advanced Microsoft Office Suite.
- Excellent time management.
- Well organised with strong attention to detail.
- Flexible with an ability to work in a fast paced, rapidly changing environment.
- Resourceful and proactive.
- Enjoys a challenge, highly motivated and professional.
