We are seeking a dedicated and experienced Executive Assistant to join our client’s dynamic team. This role is critical in supporting the general manager and providing top-tier administrative support.
Key Responsibilities:
- Email Management: Efficiently filter and prioritise incoming emails, ensuring only essential communications reach the GM’s desk. Manage a high volume of emails, identifying and flagging those requiring action or approval.
- Scheduling and Coordination: Assist in scheduling meetings and site visits, ensuring seamless coordination and time management.
- Documentation Preparation: Prepare and edit documents for policies, internal and external communications, maintaining high standards of accuracy and professionalism.
- Internal Procedures and Record Keeping: Assist in the maintenance of internal procedures and accurate record-keeping to ensure compliance and organisational efficiency.
- Minute Taking: Accurately record minutes during meetings as required, ensuring all action items are documented and followed up.
- Travel Arrangements: Organise and coordinate travel arrangements as required
- Office Management: Oversee office management tasks to ensure a productive and efficient work environment.
- Report Preparation: Assist in the preparation of detailed reports, gathering and analysing data to support decision-making processes.
- Team Management: Assist in delegating tasks to and managing the administrative team, ensuring timely completion of all assignments.
- Experience as an Executive Assistant or in a similar administrative role.
- Exceptional organisational and time-management skills.
- Strong attention to detail and ability to prioritize tasks effectively.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Proactive mindset with the ability to anticipate needs and provide solutions.
- Able to build relationships effectively
