About the Role:
As an Executive Assistant at Liontown Resources, you will play a pivotal role in providing high-level administrative support to our Chief Operating Officer (COO). Your responsibilities will include managing schedules, coordinating meetings, handling communications, and ensuring efficient operations within the executive office. This position demands meticulous attention to detail, strong organisational skills, and the ability to maintain confidentiality with utmost discretion.
Key Responsibilities:
Calendar Management:
- Coordinate and manage the COO's calendar, scheduling appointments, meetings, and travel arrangements.
- Prioritise appointments based on importance and ensure optimal use of the COO's time.
Communication Liaison:
- Act as a central point of contact between the COO and internal/external stakeholders.
- Handle incoming communications, emails, and inquiries on behalf of the COO.
Meeting Coordination:
- Organise and coordinate meetings, including preparing agendas, taking minutes, and distributing materials.
- Arrange all logistics for meetings, such as venue bookings, technology setup, and catering.
Travel Arrangements:
- Manage all aspects of executive travel, including booking flights, accommodations, and transportation.
- Prepare comprehensive travel itineraries and necessary documentation.
Document Preparation:
- Prepare, edit, and format documents, presentations, and reports for the COO.
- Ensure accuracy, clarity, and high quality in all materials produced.
Document Management:
- Maintain and organize company documents and records, ensuring compliance with legal and regulatory requirements.
Project Assistance:
- Support various projects by conducting research, preparing reports, and managing timelines and deliverables.
About You:
- Minimum of 5 years' experience as an Executive Assistant or in a similar administrative role, preferably in the mining or resources industry.
- Proven ability to manage complex schedules and prioritise tasks in a fast-paced environment.
- Organisational Skills: Exceptional organisational and time-management abilities.
- Communication Skills: Excellent written and verbal communication skills.
- Discretion: High level of discretion and confidentiality in handling sensitive information.
- Interpersonal Skills: Strong interpersonal skills and the ability to build positive relationships with colleagues and stakeholders.
