Mercer is seeking candidates for the following position based in the Melbourne office:

Executive Assistant - Superannuation Services

  • This role supports the Chief Executive Officer, Superannuation Services. This role will be critical in supporting the leadership team drive efficiency through the implementation of robust administrative and information management processes.
  • Key day to day responsibilities will include email and calendar management, travel coordination, expense management, minute taking and paper coordination for leadership meetings, including creation and formatting of agendas and presentations.

We will count on you to:

Executive support:

  • Proactively assess and/or anticipate Executive and extended team's needs with explicit direction and take appropriate action.
  • Provide high-level secretarial and administrative support, maintaining discretion and confidentiality. This includes travel coordination within Mercer and MMC policy guidelines, reconciliation of expenses and general stationery and maintenance requests.
  • Schedule meetings with internal stakeholders, team members, external clients and external associations, responding to invitations and suggesting appropriate times.
  • Co-ordinate large meetings (leadership forums, working groups, ad-hoc workshops etc.)
  • Actively respond to emails and phone calls on behalf of the Executive, identifying and flagging important information, taking action as required.
  • Keep track of meetings (client, contact, friend, and colleague) noting/communicating when the next meeting is to occur, or next deadline is due.

Administrative activities:

  • Resolve administrative problems by analysing information, identifying issues and communicating solutions to enhance performance, whilst maintaining confidentiality of sensitive information.
  • Manage the structure/usage of information repositories such as Teams, Sharepoint, share drives etc.
  • Manage payments for the business (raising purchase orders, processing invoices etc).
  • Provide training and mentoring, evaluating performance of lower-level administrative staff in the department to facilitate employee development and achievement of their personal goals.
  • Undertake complex administrative duties with specific projects as required, including project coordination for projects owned by Executive.
  • Collaborate with team members and Executive Assistants on shared projects/special events, where roles may overlap or shift in the course of time, sharing knowledge as appropriate to create efficiencies in processes that are beneficial to all.
  • Provide support to Superannuation Services teams in administrative capacity as needed.

Communication and reporting:

  • Manage internal and external inquiries to support a high level of customer satisfaction and communication, acting as point person for areas of specialised knowledge.
  • Create and format Powerpoint and Word documents for an executive audience.
  • Peer review documents before final production/distribution to ensure quality control of final product.
  • Support department communications, town halls and events planning.

What you need to have:

  • At least 6 years' experience - prior reporting to an Executive Director highly advantageous.
  • Experience managing multiple high priority projects with varying deadlines.
  • Excellent verbal and written communication skills.
  • Demonstrated stakeholder management capabilities.
  • Comfortable working in a collaborative culture with strong internal and external relationships.
  • Strong team player.
  • Initiative and enthusiasm with the ability to learn new tasks quickly.
  • Advanced skills in Microsoft suite of applications (Outlook, PowerPoint, Word, Project, Excel). Ability to put together impactful presentations will be very valuable.
