What you'll do:
Are you ready to be an integral part of driving Wesfarmers Health towards its vision and strategic goals? We are seeking a dedicated and skilled Executive Assistant to provide exceptional support to the General Manager Pharmacy Business Development and the General Manager Product and Replenishment, as well as their respective teams. Your role will be pivotal in maintaining the seamless operations of these departments. The responsibilities for this role include:
- Act as the first point of contact for the two General Managers and their teams
- Support the GMs strategically, enabling their seamless role execution and fostering a trusted partnership
- Diary Management: arranging meetings and rooms, preparing presentations and projects, taking, and issuing minutes in a timely manner, scheduling follow-up actions as needed
- Travel Support: booking flights, accommodation, arrangements for working dinners, finding suitable venues for corporate events etc
- Event management: internal and external events, conferences, monthly team meetings, industry events, catering, and any entertainment requirements
- Office Administration: accountable for processing and approving invoices and expenses, workflows, leave management, scheduling performance reviews and other team related processes
- Coordinate onboarding and induction of new starters in the Pharmacy Business Development team and Product and Replenishment teams
- Collaborate actively with fellow Executive Assistants, fostering a coordinated approach to group-wide projects and tasks, thereby enhancing the overall effectiveness of the Wholesale Division
What you'll bring:
- 5 + years' experience in an administrative or secretarial support roles of which several years spent supporting senior level managers
- Proven ability and experience to support two senior executives and their teams
- Previous experience in travel management, displaying the capability to efficiently organise and coordinate travel arrangements
- Proficiency in office software tools and technology for seamless workflow management.
- Ability to effectively prioritise tasks amidst competing demands, and adeptness in interacting with senior managers for efficient coordination
- Strong interpersonal and communication skills, enabling effective collaboration with departmental teams and peers
- Agile mindset with the ability to anticipate needs and challenges, contributing to proactive problem-solving
- A team-oriented approach with the capacity to work collaboratively in a fast-paced and dynamic environment
- Proactive exploration of technology to optimize workflow and enhance efficiency, consistently seeking opportunities to work smarter
- Adherence to strict confidentiality protocols, handling sensitive information with utmost discretion
- Pharmaceutical Industry Knowledge: Preferred, though not mandatory, experience or familiarity with the pharmaceutical industry
- Year 12 minimum or Certificate Diploma in Business
