What’s the job?
We are seeking a highly professional individual to deliver exceptional secretarial and administrative support to three dynamic university executives. This vital role requires outstanding organizational skills, strong attention to detail, a talent for multitasking, and a deep commitment to confidentiality and discretion. You will have a background in supporting high-level personnel, showcasing an ability to manage complex schedules and confidential information with utmost integrity. This position is pivotal in facilitating the effective functioning of our executive team, ensuring smooth operations and the achievement of strategic goals. Day-to-day accountabilities:
Provide professional and confidential administrative and secretarial support to the Executive(s)
Coordinate and manage travel, conference / meeting bookings and accommodation as required
Compile itineraries for corporate travel – including the preparation of agenda’s / briefing documents and background research required for meetings and appointments
Undertake research and prepare monthly reports, presentations, speeches, submissions and other correspondence
Improve and develop systems and processes to ensure an efficient and accurate level of support can be provided
Communicate and coordinate interactions with a range of people including the wider TGE Executive Team, TGE Executive Assistant team, other staff, the public, dignitaries and representatives from other organisations
Coordinate national meetings and teleconferences
This position is offered on a fixed-term contract until January 2025, with the potential for permanent employment thereafter. While Sydney is the preferred location, we are open to considering candidates from other locations if they are the right fit for the role.
Who you are
Significant previous experience supporting a Senior Executive
Extensive diary management and full itinerary travel scheduling experience
Experience managing email inbox for executives
Experience in implementing and maintaining document management and control systems
Advanced MS Office program skills including Word, Excel, PowerPoint and Outlook Exceptional organisational skills and commitment to detail
Highly developed time and project management skills and demonstrated ability to meet deadlines and to effectively manage multiple projects including the organisation of events and functions
Strong verbal communication, interpersonal and public relations skills to enable professional interaction with a range of people and cultures including senior management and other staff, the public, dignitaries and representatives from other organisations in the AMEA Region
Exceptional written communication skills including demonstrated experience in drafting correspondence, presentations, and reports
Committed to working collaboratively as part of a team.
