Provide high level legal, administrative and business duties ensuring the smooth functionality of the Office of the Executive Director.

About the role:

The Executive Director performs the dual role of Departmental Head, Legal Services Department and General Counsel to the Chief Commissioner of Victoria Police.

The charter of the Legal Services Department is to provide comprehensive legal related expertise in support of Victoria Police's operational and business activities, incorporating model litigant principles.

The Legal Services Department currently encompasses more than 700 employees spread across the Legal Practice, Courts and Specialist Prosecutions Division, Civil Law Division, and Legal Business Operations Division. There is a diverse mix of police prosecutors, police lawyers, principal lawyers, solicitors, project officers and business managers operating within these areas.

The primary objective of this role is to perform a range of high level legal, administrative and business duties ensuring the smooth functionality of the Office of the Executive Director.

This requires experienced, professional and motivated persons to provide executive support and legal assistance to the Executive Director and Deputy General Counsel in a confidential and sensitive environment.

Your duties will include:

  • Monitoring the calendar and meetings of the Executive Director, Deputy General Counsel, ensuring confidentiality.
  • Accurate, orderly maintenance of hard copy and electronic legal and administrative files.
  • General administrative duties including ordering and maintaining office stationery supplies.
  • Undertaking various file searches not limited to court matters and including corporate and operational files within Victoria Police.
  • Monitoring and oversight of court cost invoices & legal fees, alerting the fee earners to any issues or constraints that surface.
  • Supporting Victoria Police's governance processes through the provision of effective and efficient secretariat services including diary management, developing agendas, collating papers, preparing minutes and follow through of action items.
  • Preparation, drafting and collation of correspondence and documents accurately and efficiently.
  • Proof reading and quality control over correspondence and reports to ensure inaccuracies and omissions are identified.
  • Providing project and legal support for initiatives that improve executive services and governance.
  • Developing and improving systems and processes that support the Office of Executive Director and organisation governance.
  • Assisting the Staff Officer of the Executive Director with any administrative, financial or legal requirements as directed.
  • Any other administrative or business requirement as instructed by the Executive Director.
  • Fostering and maintaining effective relationships across internal and external stakeholders to ensure high levels of service.
  • Consulting with internal & external stakeholders, clients, counsel, and solicitors on behalf of the Executive Director.
  • Engaging with other Departments/Regions/Commands to ensure the timely provision of legal advice.

Requirements and relevant information:

  • One (1) x full-time, ongoing position available.
  • This position is located at Victoria Police Centre, 311 Spencer Street, Docklands.
  • Applicants must be an Australian Citizen, Permanent Resident or hold a valid work permit or visa.
  • The successful candidate will be required to undergo pre-employment checks which may include fingerprint checks and misconduct screening.
  • In accordance with the Acting Chief Health Officer's Direction – COVID-19 Mandatory Vaccination (Workers) Directions, you are required to be fully vaccinated (this includes a booster vaccination) and your employment with Victoria Police is subject to proof of vaccination.
  • As a member of the Legal Services Department you will be located, on selection, at a specific office within a Division for a particular advertised opportunity. However, given occasional legal service demand issues you may be required at times to undertake varied work within the Department. This supports the Departments commitment to a flexible and deployable legal workforce and professional development opportunities in a range of legal domains.
