There is an exciting opportunity for experienced Executive Team Assistant for a fulltime, maternity relief role up to 12 months working 38 hours per week to join a dedicated, innovative and fun Executive team.

Established in 1923, Karitane is a dynamic and innovative not for profit health organisation and registered charity providing early parenting services. We support families with children from birth to 5 years of age through building parenting capacity, enhancing parent child relationships and

strengthening a family’s connections with supports in their community. Our services are evidence based and delivered by a caring and highly trained professional team of child and family health nurses, paediatricians, social workers, psychologists and psychiatrists offering complete, holistic care.

POSITION TITLE: Executive Team Assistant

DEPARTMENT: Executive office

OPERATIONAL BASE: Carramar *you may be required to work at other Karitane facilities as requested

STATUS: Temporary - full-time 38 hours/week (Mon- Fri) – Maternity Relief

VACCINATION CATEGORY: B

PURPOSE

The Executive Team Assistant provides a range of high-level administrative support services to the CEO and Chief Finance officer, including but not limited to meeting administration including scheduling and high level minute-taking, administrative tasks associated with daily diary activities, special projects, and events.

Provide professional secretariat support to the Board and Committees including co-ordination of meetings, development and quality assurance of agendas and briefing documents, recording of minutes, oversight of resulting actions, and record keeping and document management.

The Executive Team Assistant will represent the CEO and Executive team and will handle a high degree of sensitive and confidential information.

KEY SELECTION CRITERIA: (Each criteria must be addressed in your application)

1. Demonstrated experience as an Executive Assistant or Team Assistant.

2. Demonstrated proficiency in all aspects of Outlook/ Word/ MS Teams / Excel/ PowerPoint and other IT software as required.

3. High level skills and administration support including efficient, accurate minute-taking and the

ability to manage busy schedules and diary management frequently.

4. Proven experience and ability to work under pressure, prioritise workload and meet strict deadlines with high level organisational skills

5. Ability to be self-directed, motivated, and work as part of a skilled, highly functioning team.

6. Demonstrated ability to handle difficult situations, problem solve and remain professional at all times.

7. Excellent verbal and written communication skills, ability to communicate with staff at all levels, attention to detail

8. Commitment to the Code of Conduct, Values and Health Care Philosophy of Karitane.

REQUIRED EDUCATION AND EXPERIENCE:

• Not essential however a Certificate IV or equivalent Office Administration is an advantage.

• Knowledge of health environments is an advantage.

• Highly proficient computer skills (Advanced skill within Microsoft Office Packages)

CONDITIONS OF EMPLOYMENT

Temporary  full-time role in accordance with The Named NSW (Non-Declared) Affiliated Health Organisations’ Health Employees Agreement - Health Services Manager Level 1.

The majority of Karitane’s services close for two weeks over the Christmas/New Year period, during which time employees are required to take leave. Karitane services are provided at a number of sites across NSW. Occasional regional travel and site visits may be required from time to time.

Karitane supports a smoke free environment including grounds, buildings and vehicles.

Relevant Criminal History, Working with Children’s Check, Apprehended Violence Orders and prior employment checks, including relevant disciplinary proceedings, will be conducted on recommended applicants. Karitane is a Child Safe organisation.

All Karitane employees are required to complete a ‘Working with Children Check’ and comply with Karitane’s Child Safe Code of Conduct.
