Randstad is partnering with a government body, looking for a Facilities Administrator to join their team in South East Melbourne on a 5 month contract with a possibility of extensionPosition Responsibilities
- High level liaison with hirers / users regarding all aspects of their bookings, indicated through Zipporah, including but not limited to booking details, financials, payment options, setup requirements, facilities available, catering and business owned equipment.
- Accordingly, process customer/community work requests accurately using corporate systems with timely administration of email enquiries for venue hire, providing information on rates and availability processing their booking including invoicing and refunds of bonds using business corporate systems.
- Opening and closing of the Centre and/or other Civic and Community Facilities sites, when required, including physically arranging and moving furniture and equipment for programs and events.
- Ensure that the facilities are clean and set up ready for functions, programs and events
- Maintain attendance records and enrolments of program attendees at the Centre or other sites, ensuring attendees adhere to protocols and requirements of the Centre or other sites
- Advise the Team Leader, if hirers have failed to adequately clean up after an event. Prepare and log Merit requests for repairs.
- Support the Team Leader in developing programs for the community and encourage community participation and assist the Team Leader with promotion of programs and facilities by liaising with Media and Communication to create flyers and forms.
- Undertake the role of Occupational First Aid Officer (OFAO) where required to administer First Aid to members of the public who may be injured or unwell whilst using business facilities.
- Relevant post-secondary qualifications (e.g. Certificate IV) in Venue management, Community Development, Customer Service, or equivalent relevant knowledge and skills gained on-the-job with the requirements of the role.
- Experience in a community setting delivering direct service and support to customers, through programs and events, setting up audio / visual, computer or sound system equipment per technical requirements of Civic and Community Facilities clients.
- Experience working within a small team environment contributing to key group as well as individual work goals using a variety of MS software and the full functions of facility booking systems. e.g. Zipporah, for administrative/clerical responsibilities, including data entry of financials and reporting.
- Demonstrated interpersonal, written and oral communication skills in order to communicate effectively with people from a wide range of backgrounds and resolve minor problems.
