We are looking for a highly organised and efficient professional with administrative experience to provide People and Culture administration and support to the leadership team in our new offices in North Sydney. We’re looking for a fun, energetic professional who doesn’t mind wearing multiple hats as this is a busy and varied role and no two days will be the same. To succeed as an administrative manager, you should be focused on streamlining office operations to maximize quality and efficiency while reducing costs.
People & Culture Administration
- Assisting with the administration, recording, processing of documents associated with, and provision of information related to, position vacancies and recruitment processes
- The timely preparation of standardised employment contracts and variations, as directed
- Assisting with the monitoring of HR Key Performance Indicators, and the preparation and dissemination of a range of relevant reports, as directed.
- Assisting with the administration of employee entitlements and benefits, including salary sacrifice.
- Administering, entering and securely maintaining confidential personnel records, data and information on the Human Resource Management System (HRMS) Employment Hero
- Proactively supporting relevant managers and staff, Employment Hero related matters, and assisting with the provision of system training
- Maintaining and updating staff training registers, and other employment related databases to facilitate their ongoing integrity, accuracy and security
- Assisting with the preparation and distribution of general HR correspondence to relevant directors and managers
- Providing a range of other general administrative support and reception services to the P&C team, including supporting routine financial activities and assisting with staff induction processes
Administration Management
Coordinate leadership teams’ appointments and meetings, and manage room bookings
Liaise with building managers to report maintenance issues
Supervise the day-to-day operations of the administrative function and staff [including overseas resources]
Supervise, mentor, train, and coach office staff and delegating assignments to ensure maximum productivity
Develop, review, and improve administrative systems, policies, and procedures
Work with the accounting and management teams to set budgets, monitor spending and process expenses
Skills & Experience
- Sound interpersonal and communication skills consistent with providing high quality customer service.
- Ability to work under general direction and as a member of a team, contribute to a spirit of team co-operation and provide support and guidance to other staff members when required.
- Demonstrated ability to handle and manage confidential and sensitive information and to exercise appropriate initiative and judgement in the conduct of required activities.
- Demonstrate excellent organisational skills that deliver work to strict deadlines, including sound prioritisation in a busy environment with conflicting demands.
- Ability to achieve high standards of work performance and acquire knowledge and learn relevant new skills in short time frames.
- High proficiency with computers, especially MS Office including Teams, Outlook and Word and ideally familiarity with Employment Hero or other HRIS
