We have an exciting future ahead within Manufacturing at Michael Hill and we want you to bring your meticulous eye for detail to this unique role.
Reporting to the Special Order Manager, the Manufacturing Administration Assistant is responsible for performing day-to-day administrative duties relating to special orders which forms a very large percentage of our business. The role includes accepting, processing and invoicing special orders, maintaining and tracking orders to ensure delivery dates are met, collaborating closely with various departments and maintaining a high level of customer service.
In this hands-on role, your primary responsibilities will be to:
- All aspects pertaining to the Michael Hill special order process - this includes approving orders in Microsoft D365, creation and maintenance of SKU’s, verification of orders and initiation of packet printing, booking in purchase orders and monitoring delivery dates
- Coordinating and liaising with the Customer Orders team and wider internal jewellery workshop regarding special order and repair requests
- Quoting from our Quoting App and Freshdesk and sourcing stones with suppliers when necessary
- Print Diamond Certifications relating to the correct product
- Invoicing and price checking of special orders
- Creating and monitoring purchase orders for required components relating to special orders
- Monitoring progress of all special orders to ensure delivery dates are met and updating our internal customer orders team of any delays or changes
As the successful candidate, you will bring:
- Exceptional customer service and administrative experience to showcase communication, data entry and multi-tasking
- Strong computer skills with particular proficiency in Microsoft D365 very highly regarded
- Jewellery production knowledge is advantageous
- An analytical mindset with meticulous eye for detail
- Solutions focused with the confidence to show initiative
- Self-motivated with the ability to prioritise daily workload, all the while being able to work with a team especially in quite a diverse and dynamic broader workshop environment
