Our Practice
We are a surgical medical practice located within St Vincent’s Clinic Darlinghurst. Our practice consists of two specialists and our medical software is Shexie and Audit 4.
You will be working in an environment that is dedicated to ensuring patients receive the highest level of patient care in a caring, professional and comfortable environment. You will be an important part of our patient’s journey and will be an ambassador of these standards and values.

- $38-42 per hour (depending upon experience, skills/knowledge)
The Role
The main objective of the role is to provide reception and administrative support to the patients and specialist doctors within the practice as well as to work collaboratively with the Practice Manager to ensure efficient daily operations of the practice.
You will be someone that is highly organised and always a step ahead of the doctor having your finger on the pulse ensuring that all reception and administrative tasks are completed efficiently allowing them to focus on what they love – taking care of the patients.
Being a good fit to our culture and our work values is important, so we also welcome non experienced medical administration candidates to apply for the position as we are happy to train someone in medical administration.
The role is for 3 days per week and the hours are 9am to 5pm. We require someone to work on our busiest consulting days of Wednesday and Thursday and we are happy for you to select the third working day that fits in with your work/life balance. There needs to be a degree of flexibility to be able to cover staff annual and sick leave within the team.
Duties and responsibilities of the role include:
- Provide an outstanding level of customer service on the telephone and in meeting and greeting patients
- Ensure an effective and seamless patient journey and experience
- Efficient management of all patient data, appointments, procedures, clinical files, correspondence and accounts
- Schedule and effective management of patient bookings in Shexie and Audit 4 software for the two specialists
- Management of patient invoicing and receipting of consultations
- Co-ordinating specialists' diaries and surgery lists
- Coordinate surgery admission and hospital paperwork
- Coordinate additional tests with pathology and imaging practices
- Editing, proof reading and formatting of transcription letters and clinical reports (typing is outsourced and prepared using Dragon dictation)
- Liaise with and maintain excellent working relationships with other medical disciplines and the hospitals
- Provide administrative support to the Practice Manager
Your Skills & Knowledge
You will possess the following attributes: -
- Previous Medical Secretary/Medical reception experience is highly regarded, however not essential as willing to look at other candidates from other industries with strong administration and customer service skills
- You are passionate about providing an exceptional level of customer service.
- You are meticulous by nature and always ensure everything is completed to the highest standards
- Compassionate, empathetic and warm disposition
- Comfortable handling confidential and sensitive patient information
- Work well under pressure
- You are a natural born organiser that can multitask, manage time efficiently and understand the importance of efficient processes and procedures
- Able to work well independently, but also as part of a team
- Ability to connect and interact with people of all ages, background and personalities
- Flexibility to be able to work additional days to cover staff annual/sick leave
