We are currently seeking a highly organized and detail-oriented Office Administrator to join our team to ensure the smooth and efficient operation of our boys' Secondary school.
The ideal candidate will possess excellent communication skills, a proactive approach to problem-solving, and the ability to manage multiple tasks simultaneously.
Key Responsibilities:
Office Management:
- Handle all phone calls, following a clear hierarchy for redirecting.
- Address the day-to-day needs of students, staff, and parents.
Student Administration:
- Serve as the primary contact for parent inquiries about school functions, events, and general information.
- Manage the administration around student absenteeism, truancy, and tardiness in coordination with Year Level Convenors and parents in accordance with student management policies and procedures.
- Communicate with students about school programs.
- Support the Head of School, Head of Student Well-Being, and Year Level Convenors in student administration management.
- Assist convenors in the administration of discipline policies.
- Maintain and report on student data within relevant school platforms
Communication:
- Draft and manage day-to-day correspondence via email and the school app.
- Communicate events and important information to stakeholders.
- Plan and execute school events in collaboration with the other school campuses.
- Work with Marketing and Communication staff to ensure accurate and branded communications.
- Collect and edit content for the weekly newsletter.
Maintenance and OH&S:
- Coordinate cleaning and maintenance works.
- Implement OH&S requirements in collaboration with the Maintenance team.
School Functions and Events:
- Organize school events for parents, students, and staff.
- Prepare invitations, awards, and relevant documentation.
- Ensure effective and timely communication of all events.
- Manage community diary bookings and the school calendar.
- Publicize events in collaboration with the PR manager.
First Aid:
- Administer simple and emergency first aid.
- Support student medical needs, including medication management.
Skills Required:
- Strong organizational, communication, and interpersonal skills with a warm and friendly disposition.
- High competency with Microsoft Office suite.
- Experience with Learning Management Systems (SEQTA training available).
- Excellent time management and organizational skills with the ability to multitask and prioritize.
- Ability to work autonomously and proactively solve problems.
- Ability to work effectively under pressure.
- Competency in database administration and web portals.
- Adaptability to new systems.
- Basic First Aid skills (training available).
- Team player with a high level of confidentiality.
