The Role
Reporting to the Human Resources Business Partner, the Office Administrator is responsible for providing administration support to the Perth Corporate office and maintaining a safe and efficient work environment
Key Responsibilities:
- Adhering to and promoting of SQM corporate values: Excellence, Safety, Integrity and Sustainability;
- Office Management including overseeing daily office operations to ensure smooth functioning and management of office supplies and equipment, ensuring timely procurement and maintenance;
- Facilities management including ensuring the office is well-maintained, clean, and safe for all employees. Coordinate with building management and external vendors for maintenance, repairs, and improvements.
- Liaising with relevant internal stakeholders in relation to travel, accommodation, and catering bookings. Approval of travel and accommodation requests as required.
- Plan and organize company events, celebrations and training sessions.
- Process and manage accounts payable transactions, ensuring accuracy and timeliness.
- Verify and reconcile invoices and statements, create purchase orders and new vendors;
- Ordering of furniture items as requested;
- Procurement assistance including the maintenance of databases;
- General administration, such as managing incoming and outgoing correspondence, including mail, emails, and phone calls, filing, processing and directing mail, data entry, word processing, photocopying, ordering stationery/clothing (PPE and branded),
- General reception duties, including greeting all visitors and answering phones.
- Respond and/or direct general office enquiries and correspondence to the required area;
- Preparation of credit card reconciliations, making sure expenses are substantiated with relevant tax invoices;
- Assist the HR Department with onboarding of new employees including arranging of pre-employment medical, Ergonomic Assessments and all IT related requirements ensuring new hires have access to necessary resources;
- Provide ad hoc Administrative Support for various departments and senior management;
- Identify and develop administrative processes improvements.
Qualifications and experience
- Previous Office Administration experience in the Mining industry is advantageous.
- Confident, motivated, self-driven and able to work autonomously.
- Excellent computer skills and ability to learn new systems.
- Strong work ethic, flexible, adaptable, and reliable.
