We've done it again! We've promoted our wonderful Office Coordinator, leaving us with some pretty big shoes to fill. With both of our last two Office Coordinators being promoted within the business, we're looking for the perfect all-rounder to join our South Yarra Support Office. Bringing our Family value to life, you will be the glue that holds us together, in a role that has exposure to all departments. It doesn't suit everyone to be in the office all the time, but managing our reception desk is a full-time gig! Your daily responsibilities will range from greeting guests, keeping supplies/stationary stocked, managing internal and external email queries, and supporting both the P&C team with HR tasks. You will also be responsible for our social calendar where you will organise our monthly anniversary celebrations, trivia nights, team lunches, State Meetings and other Schnitz team events.
The Role Recipe:
- Welcome all visitors ensuring they receive the highest level of customer service, leaving them with a positive lasting impression
- Coordinate events and assist with the planning of company-wide meetings
- Manage customer queries and manage our internal Jira ticketing system
- Ensure presentation standards across reception and meeting spaces
- Organise gifts, cards and celebrations such as work anniversary celebrations and Support Office drinks
- Supporting the People and Culture Manager with HR Administration
- Housekeeping - keeping the kitchen and shared office spaces functional and organised
- Responsible for office purchases and credit card reconciliations
- Ad hoc errands
Key ingredients:
- Previous experience in a face to face administration role
- A minimum of 2 years experience in a similar Office Coordinator/Administration/ Reception position
- Strong Microsoft Office and Google Suite skills
- Professional approach
- Exceptional written communication skills, organisation, interpersonal and decision-making skills
- Driven to work autonomously while working in a collaborative environment
- Ability to develop and foster strong relationships with internal and external stakeholders
- Ability to deal with challenging customers in a polite and diplomatic manner
