Job description

We’re a leading mobile app development company seeking a skilled and dynamic Office Manager / Administration Assistant to join our team!

Based in our South Yarra office, this part-time role offers the opportunity to work 2-3 days per week, providing essential support to our team. If you have a passion for office management and administrative tasks, and thrive in a fast-paced, creative environment, this could be the perfect opportunity for you!

Responsibilities include (but not limited to):

  • Assist with preparing and formatting client proposals, and setting up new projects 
  • Compose and send emails to clients and suppliers when necessary, maintaining effective communication channels
  • Assist with accounts payable and receivable duties, such as monitoring our Accounts inbox, and following up overdue invoices
  • Review and follow up on the team's timesheets, ensuring accurate and complete data
  • Support our recruitment efforts by reviewing applications, scheduling interviews, and coordinating with candidates to ensure a smooth recruitment process
  • Coordinate and plan regular social events for the team, including staff birthdays and our highly anticipated End of Year party 
  • Book staff travel and accommodation as needed
  • Order groceries, office supplies and equipment, ensuring a well-stocked and comfortable working environment
  • Organise and oversee office maintenance tasks to maintain a clean and functional workspace
  • Assist the Managing Director and General Manager with ad hoc duties, as required.

Ideally, the successful candidate will also manage DreamWalk’s social media accounts by creating and scheduling original content, and write monthly blogs for our website. Experience with these tasks would be ideal, but not essential.

Requirements:

  • Available to work Tuesdays, Wednesdays and/or Fridays (these are our office days)
  • Proven experience in office management or administrative support roles
  • Strong organisational skills with the ability to multitask and prioritise tasks effectively
  • Excellent written and verbal communication skills
  • Proficiency in using office software and applications, including Google Mail, Google Docs and Google Sheets
  • Experience using Canva and basic Wordpress skills will be an advantage, but not essential
  • Attention to detail and accuracy in completing tasks
  • Ability to work independently and take initiative while also collaborating effectively with team members.
  • A positive attitude and a willingness to adapt in a fast-paced, ever-changing environment.
