Contemporary professional services firm located in the heart of Melbourne is looking for an enthusiastic and self-driven Office Manager.

They are looking for an Office Manager with excellent organisational skills and a personable disposition to keep us thriving. We need someone with a natural flexibility in handling day-to-day routines as well as surprises. Objectives of this role

  • Oversee visitors to the office and ensure an impressive, personal experience.
  • Bring the wow factor to client and colleague meetings.
  • Cultivate meaningful relationships with colleagues and external vendors alike.
  • Coordinate internal and external resources; respond to requests and questions about office operations.
Responsibilities
  • Ensure office efficiency by maintaining common areas and meeting rooms.
  • Oversee and maintain office equipment for uninterrupted function; identify needs and acquire supplies; manage vendor relationships; coordinate food deliveries when requested.
  • Provide direct administrative support as needed, including scheduling appointments, meetings, and events; booking travel; maintaining file systems; mailing and shipping packages; updating contacts database and colleague lists.
  • Oversee day-to-day office activities as the main point of contact and keep management informed regularly.
  • Provide targeted support for an international office
Required skills and qualifications
  • Advanced communication skills
  • Two or more years of experience in office management.
  • Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability.
  • Excellent organisational skills.
  • Proficiency with Microsoft Office 365 applications, and aptitude for learning new software and systems.
  • Ability to maintain confidentiality of company and colleague information.
 Preferred skills and qualifications
  • Bachelor’s degree or equivalent.
  • Experience in developing internal systems and improving processes.
  • Advanced computer skills and experience with online platforms.
