Objectives of this role
- Oversee visitors to the office and ensure an impressive, personal experience.
- Bring the wow factor to client and colleague meetings.
- Cultivate meaningful relationships with colleagues and external vendors alike.
- Coordinate internal and external resources; respond to requests and questions about office operations.
- Ensure office efficiency by maintaining common areas and meeting rooms.
- Oversee and maintain office equipment for uninterrupted function; identify needs and acquire supplies; manage vendor relationships; coordinate food deliveries when requested.
- Provide direct administrative support as needed, including scheduling appointments, meetings, and events; booking travel; maintaining file systems; mailing and shipping packages; updating contacts database and colleague lists.
- Oversee day-to-day office activities as the main point of contact and keep management informed regularly.
- Provide targeted support for an international office
- Advanced communication skills
- Two or more years of experience in office management.
- Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability.
- Excellent organisational skills.
- Proficiency with Microsoft Office 365 applications, and aptitude for learning new software and systems.
- Ability to maintain confidentiality of company and colleague information.
- Bachelor’s degree or equivalent.
- Experience in developing internal systems and improving processes.
- Advanced computer skills and experience with online platforms.
