OFFICE MANAGER
WITH VIEW TO STEPPING UP TO PRACTICE MANAGER.
We have a stunning role for a qualified Office Manager to assist in running a very busy ophthalmology practice of 8 surgeons
Intially reporting to the practice manager then eventually stepping up to the practice manager's role for the Hawthorn rooms.
This role includes supervision of admin staff as well as the Orthoptists in the clinic. The office manager ensures allocated reception and administrative duties are carried out in an efficient and effective manner.
The office manager should be able to create and maintain a pleasant and happy work environment ensuring high level of organisational effectiveness, communication and safety. You should be extremely efficient, organised and resourceful.
A candidate should be flexible and able to function in a fast paced environment. You need strong interpersonal skills in order to effectively deal with the many personalities. Strong decision making skills, along with excellent communication skills, and attention to detail skills.
Position Responsibilities
- Liaise with patients in a prompt, friendly and professional manner
- Arrange appointments
- Respond prompty and appropriately to all individuals presenting to reception
- Proactively monitor waiting times in reception and keep patients informed of any delays
- Process Medicare/DVA transactions
- Accurately record all patient and ancillary information into the practice's software package - Zedmed
- Ensure timely and accurate retrieval of material relating to the medical management of patients and assist with any other matters relating to materials and for records as requested
- A neat professional appearance at all times
- Provide general administrative assistance within the practice in an efficient, timely manner
- Manage daily correspondence/faxes, reports etc
- Banking or reconciliations as requested. Maintain and document Petty Cash
- Attend to account queries
- Update any information on medical records as requested
- Delegate and supervise re examination rooms, routine cleaning and re-stocking requirements
- Ensure a staff member is allocated to re-order stationery, surgical and any other stock when supplies are low
OTHER APPROPRIATE DUTIES AS REQUESTED BY PRACTICE MANAGER:
- Attending interviews for new staff and attend performance reviews
Environment Health & Safety checks
- Making sure staff take reasonable care for their own safety
- Comply with the company's policies
- Report/document incidents
- Ensure the waiting room is monitored

- The role also involves where possible to attend a maximum 3-4 administrative meetings with the Directors and management staff out of office hours
- Prior experience in a surgical practice

- Adaptable and practical
