About You
You can demonstrate skills and experience in (or the ability to learn):
- Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
- Managing invoicing and account reconciliation (Xero).
- Using software applications for task and document management, and presentation design (specifically Canva and Prezi).
- Drafting reports, proposals, and preparing presentations.

The Role in Detail
Crisis Shield’s Program Coordinator will provide administrative support to the executive team (CEO and COO), assisting them in maintaining the business and delivering works. The role also involves contributing to product and services by reviewing written content and visual presentations.
Critical to success is the ability to work independently and using initiative to solve problems. The role requires strong attention to detail and personal drive.
Key responsibilities include:
Administration
- Email management (checking for relevant tenders, industry news/media items for research/case studies).
- Ensure client and employee data is accurately recorded and filed.
- Documenting office administration processes and identify opportunities to improve them.
- Coordinate bookings, logistics and travel for client meetings and projects.
- Maintain the company website using Wix.
- Maintain the company’s WIP agenda, ensuring it is up to date for the weekly team meeting.
- Preparing and drafting grant applications.
- Support administration of contracts and HR processes.
Finance
- Control and report costs and client billing (invoicing, expenses, budget tracking).
- Reconcile monthly accounts and perform BAS/IAS duties.
- Perform payroll and leave administrative functions.
Project Management
- Prepare report and proposal templates in Word.
- Review and proofread written products for grammar and formatting.
- Create and maintain folder hierarchies within our cloud-based file system.
- Suggest and implement improvements to generate quality templates.
Content Creation
- Review blogs for the company website.
- Assist the COO in creating training and exercise content for clients, including mock social media/news articles, phone call scripts, emails, video clips, presentation deck, feedback surveys, etc.
Conditions
Pay: $55,000 – $70,000 salary pro rata, plus super. Salary commensurate to experience and agreed hours of work.
Hours: Part time: 2-3 days (15.2 – 22.8 hours)
Location: Hybrid – Crisis Shield Melbourne CBD Office and WFH
