The Role
Ensign Australia has an opening for a dynamic and confident administrator with exceptional communication and organisational skills for its Toowoomba office. Working within a fun, collaborative and fast paced team environment, this role will manage all administrative and clerical support requirements for the Queensland Operations.
Duties include:
- Coordinate, manage and support all administration requirements for the Queensland operations and functional departments
- Front-of-house Reception duties for national switchboard
- Meeting minute taking for various meetings
- Development of powerpoint presentations
- Coordinating operational reporting for both internal and external requirements
- Updating and formatting of various company documents.
- Generating of purchase orders, reconciling monthly credit cards and invoice management
- Order/maintain office stationery for the Office
- Internal audits / stocktake of supplies & equipment
- Liaise with accounts department in relation to invoices, credits and refunds from suppliers
- Event organisation & travel support
- General office housekeeping and scheduling of building maintenance, as required.
- Manage office filing system and archive register
- Supporting various departmental administrative requirements for HSE, HR, Project and Supply Chain, as required.
- Support rostered on-call and crew change presence requirements to support HR and Operations
About you
Reporting to the Area Manager QLD, this rare opportunity will suit someone looking for an ‘all-rounder’ administrative position supporting a small dynamic team and who has an interest in getting involved with most aspects of the business. This role would be suitable for someone looking to take their administrative career to the next level.
To be successful:
- Holds or willing to undertake a Certificate IV in Business Administration or similar qualification (desirable, not essential)
- 1+ years’ relevant experience in a similar administrative/reception role;
- Great communication skills both written and verbal
- Loves a list (super organised)
- Must be a team player, enthusiastic and have a great sense of humour
- Can adapt in a busy environment and change direction when required.
- Demonstrate strong customer service and relationship building skills at all levels within the business
- Intermediate MS Office skills - Word, Excel and Powerpoint;
- Ability to support the rostered out of hours crew change and weekend on-call requirements (as part of the team roster)
