Personal Assistant

Your Role:

In this diverse and dynamic role, you will provide a range of support services to the Executive Director. You will draw on a blend of analytical and organisational skills to ensure that the Director has a complete understanding of the daily requirements of the business, and has the resources he requires to deliver these requirements effectively.

You will lead or assist in a range of tasks that will see you:

  • Serve as a key contact point and liaison to coordinate activities between internal teams and external partners
  • Manage accurate, optimised schedules for the Director and related business roles
  • Provide exemplary written and verbal communication to serve a variety of purposes on behalf of the Director and the business
  • Oversee and manage databases that are vital to our operations, ensuring the integrity, confidentiality, and accessibility of data
  • Take personal control of all travel and accommodation arrangements for your team
  • Lead event planning for a variety of business and charitable causes
  • Coordinate meetings with internal and external stakeholders, providing clear agendas and working with IT to ensure that the appropriate resources are in place
  • Manage a range of financial tasks with precision and efficiencyContribute to project planning and execution, supporting the decision-making process with timely and accurate data.

About You

We are seeking an experienced professional with outstanding communication and organisational skills. To succeed in this role, you will have a demonstrated track record of managing complex schedules and balancing the needs of multiple stakeholders. You will take personal pride in coordinating and optimising the best use of our time to deliver exceptional business outcomes.

You will make daily use of your clear and effective written and verbal communication skills to ensure that everybody understands what is required of them on a daily basis. Through your communication, you will foster a positive internal culture while proudly representing our brand to external parties.

You will always show initiative – you are motivated to continuously improve and grow in your work. Your proactive attitude will set the tone for your colleagues and match the high expectations of our Director.

In your capacity as a coordinator and manager of business information, you will demonstrate the utmost integrity and discretion. You will understand how to appropriately manage confidential and sensitive information, taking all appropriate steps to protect the intellectual property of our business. When called upon, you will have accurate and insightful data at your fingertips to help us make informed decisions across the business.

You will have experience in executing financial tasks and documentation. This will include managing budgets and reconciliations with a commitment to accuracy and efficiency. Your eye for detail will be crucial to the effective delivery of this requirement.

What We Are Looking for

  • Experience as a Personal Assistant, or an Accounting/Finance background
  • Advanced Microsoft Office skills, including Microsoft Outlook
  • Rigorous time management and organisational skills
  • Proven ability to effectively manage relationships and collaborate effectively
  • Strong understanding of confidentiality and handling practices for sensitive materials
  • Exemplary interpersonal and communication skills
  • Ability to work autonomously, independently prioritising tasks and identifying risks
  • The highest levels of integrity, professionalism, and discretion.
