An excellent opportunity has become available for a Project Administrator to join our team in a Full time Permanent Capacity.
Due to continued growth Adesa has an opportunity for a Project Administrator to join our team based in Bassendean WA. The successful candidate will be responsible for the provision of a range of services, providing high quality, timely and professional project administrative and customer service support to our project management teams and customers, through the delivery of standardized, accurate and consistent business processes, with a key focus on continuous improvement.
Duties and responsibilities include:
- Supporting Project Managers in administering job cost analysis and forecasting.
- Identify risks, issues and dependencies relating to project financials. Ensuring that effective controls and risk mitigation strategies are implemented, monitored, and remain fit for purpose.
- In conjunction with Project managers obtain necessary quotes from suppliers to ensure best value. Create and process purchase orders, check and process supplier invoices for goods received, and follow up and resolve any discrepancies.
- Supporting Project Managers with documentation, project reporting, including labour resources, and project registers.
- Receive, record, and compile project documents, ensuring accuracy and completeness, including equipment manuals, technical reports, correspondences, ITPs, and drawings.
- Coordinate, maintain, and update project handover progress using checklists and closeout registers, ensuring smooth transitions and timely completion.
- Coordinating regular meetings and being a first point of contact for enquiries, providing accurate support and advice, via telephone and written communication.
- Ability to work across project sites, and head-office, but it is expected that most of the time will be at their office in Bassendean.
To be successful for this position, you must possess the following:
- Minimum 2-3 year’s project/contract administration experience working on medium/large size project within construction, or civil infrastructure projects.
- Relevant qualification in Engineering or Business-related administration desirable. Excellent skills in written and verbal communication.
- Experience in the administration / management of financial records such as expenses, invoices, and purchase requisitions.
- Experience with project management systems.
- Intermediate/advanced level in the MS Office suite of products.
- Strong problem solving and analytical skills.
- Ability to work within a team, build relationships, with exceptional customer service skills.
