Summary:
Purpose of the Position: As an administrator, you will be responsible for supporting our projects in Darwin by ensuring all paperwork, invoices, quotes, and OQEs are accurate, complete, and timely. You will also monitor incoming emails, review receipts, and approve purchase orders in our task software program Aroflo. You will work closely with our project managers and supervisors to provide high-quality administrative services assisting with creating job packs, review Quotes, OQE, and daily task packs.
Key responsibilities include:
• Providing effective administration services directly to the project team
• Prepare information for propagation to others; maintain and update records
• Providing a timely response to information requests from clients, suppliers, divisional services, and the project team
• Work closely with the Project Manager to understand project priorities, and ensure these are appropriately communicated to the team where possible
• Ensuring all workers have completed inductions and site requirements before their start date.
• Updating site registers.
• Coordinating meetings and assisting with planning.
• Updating and submitting invoices to the accounts department.
Essential Criteria
• Advanced MS Office proficiency, particularly in Excel, while working with data sets.
• Excellent communication, organisational, and interpersonal skills with attention to detail.
• Good general IT skills.
• Valid Australian Driver’s License.
• A positive attitude and a strong work ethic.
Experience in the Maritime sustainment or Defence Industry is preferred but not essential.

To be successful in this role, you will need:
Working knowledge of Microsoft Office Excel and Word
Experience with MYOB Accounting package
Previous experience with Aroflo and Employment Hero is a bonus
Proven experience in an administration role
Attention to detail and accuracy
Good communication and organisational skills
Ability to work independently and as part of a team
