Job description

Working within the Forestry Business Unit on the Forestry Sales Management Information System (FSMIS) Modernisation Project, you will be part of a high performing, dispersed team, operating within a dynamic environment undertaking the delivery of administration activities across a range of key areas in accordance with departmental processes. By working with us, you will have the opportunity to work with staff from across the business unit and department to assist in resolving issues and ensuring operational requirements are met while contributing to team goals.
Your Role:
As the Project Coordinator, you will have responsibility for the following:

  • Maintain a central register and support the review of key document deliverables to meet obligations of the project with both the Department of Agriculture and Fisheries and the Queensland Government Office of Assurance and Investment.
  • Ensure fortnightly internal project status reporting occurs through communications and support to delivery leads.
  • Maintaining the Project SharePoint Site with relevant information to keep internal stakeholders informed including governance, team structure, project status, document library, risk, issue and dependency registers etc.
  • Ensure Project Risks & Issues Register is maintained and up to date.
  • Assistance in developing and maintaining project documents and schedules, coordinating project meetings and workshops, program resource management.
  • Organising meetings, preparing meeting presentations, taking minutes and completing regular program status reporting
  • Establishing systems and procedures to guide work and track progress and strive for excellence and continually evaluate progress, and effectively overcomes barriers to achieve outcomes.
  • Maintain and monitor documentation necessary for the project.
  • Organise and attend project-related meetings.
  • Documentation and follow-up on important actions and decisions from meetings
  • Ensure project deadlines are met by managing action follow-up and maintaining action registers.
  • Experience setting up and attending on project boards including minutes, presentations, actions
  • Assist in processing formatting, collating and preparing documentation for submission to key stakeholders.
  • Provide advanced support for the team in the use of templates used for consistent presentation of information.
  • Establish and maintain a project records system.
  • Manage and track the administrative aspects of consultant and contractor engagement.
  • Assist the project manager with procurement and financial reporting.
  • Organise travel when required.
What we are looking for:
  • Significant Experience as a Project Coordinator (ie, at least 5+ years).
  • Experience working within Office Administration
  • Experience working in a large-scale Project Management Environment on complex projects.
  • Experience working in close collaboration with and supporting a range of internal and external stakeholders.
  • Experience writing high quality minutes and tracking completion of actions.
  • Appropriate qualifications and/or experience in Project Management Methodology (e.g PRINCE2, PMBOK, Agile / SCRUM) (Desirable)
  • Must be a self-starter who can manage your own time and work proactively.
  • Proficiency in the use of relevant corporate software such as MS products including MS Excel and MS PowerPoint
  • Ability to liaise with customers and stakeholders at all levels, both internally and externally
  • Excellent written and verbal communication skills
  • Strong organisational and time management with attention to detail
  • Strong time management and organisational skills.
You might also have
  • Experience working with government organisations (preferable but not mandatory).
  • Previous experience working for a large IT/ICT organisation or IT Projects (involving significant and/or complex business change elements).
  • Previous experience in Government procurement processes including contract extensions and releases to market.
  • Understanding of project management principles and practices, including project reporting using common tools.
  • Experience with Jira and/or Microsoft Project and Visio.
  • Experience working on a large transformation projects.
  • Experienced working with a large range of stakeholders, projects teams, PMO and vendors.
  • Experience in project assurance gateway reporting and project assurance.
  • Good understanding of project reporting and governance
  • Project coordination experience within a technical/system environment
ADDITIONAL INFORMATION:
  • Possession of a current Queensland C class Driver's License or equivalent is desirable.
