Job description

  • Fantastic opportunity to join a multidisciplinary team and provide operational coordination and project management support and advice within a designated work stream (school, industry, or community) in the faculty's outreach initiatives.
  • Located at Charles Perkins Centre
  • 0.2 FTE - (14 hours per week) Part time, Fixed term position available for 12 months with view for extension
  • Base Salary from $95,860 (depending on the level of experience)+ 17% superannuation.

About the opportunity

The Faculty of Medicine and Health (FMH) operates in four geographically dispersed Health Precincts including the Baluderri (Western Precinct). The Faculty comprises seven academic schools including Sydney Medical School (SMS) offering a vast range of health courses and engaging in research across all medicine and health disciplines working in partnership with numerous health and industry partners.

Formed in 1856, Sydney Medical School is the oldest medical school in Australia. It accommodates around 1200 medical students undertaking a four-year graduate-entry Doctor of Medicine program. In addition, students undertake a range of higher degrees by research or coursework, including PhD and Masters degrees to, graduate diplomas and graduate certificate courses. In addition to teaching and research facilities located at the Westmead campuses, Sydney Medical School is comprised of five other metropolitan clinical schools and two rural clinical schools where students undertake the majority of the Medical Program.

The Central Clinical School (CCS) supports a wide range of teaching activities for Medicine with dedicated staff supporting each year group. The CCS staff co-ordinate all aspects of teaching, medical placements and electives in Royal Prince Alfred Hospital and its associated partners. Located in Camperdown, RPA is the main teaching hospital of the CCS. It is an institution with a rich heritage in both undergraduate and postgraduate medical training in Australia.

We are looking for an experienced and highly motivated Project officer, Outreach and Community Engagement working towards the project's milestones, goals, and objectives. To advice within a designated work stream (school, industry, or community) in the faculty's outreach initiatives in order to raise the faculty's reputation and brand position among a variety of target audiences.

  • Schools Outreach: prospective students and their influencers, high school teachers and careers advisers to ensure success of the initiatives for prospective students.
  • Industry Engagement: government and industry and our international partners to ensure success for teaching and research endeavours.
  • Community Outreach: prospective students and their influencers, high school teachers and careers advisers to ensure success of the initiatives for improving diversity.
  • Ability to Travel: required to travel off campus to attend high schools / careers markets, or attend seminars, workshops, and conferences.
  • Excellent judgement and problem-solving skills: utilise skills to resolve issues and will use critical judgement.

Your key responsibilities will be to:

  • support a large project, explore grant potentials and
    engage the community
  • liaise with work stream stakeholders (internal and external) for the purpose of coordinating a range of activities with them (including regional outreach)
  • manage funding details of research such as project finance expenditure and activities, invoicing etc. providing financial and budget management, including financial and operational reports for funders
  • maintain and manage project data using the record management system, ensuring data integrity, and confidentiality
  • implement strategy and deliver on KPIs/objectives that support entrepreneurship and commercialisation capacity
  • project management with exceptional computer literacy and administrative skills to implement project governance and reporting procedures to monitor project delivery, and track and report progress to relevant committee Implement effective and transparent communication strategies to keep stakeholders informed.

About you

To be successful in this role, you have:

  • a tertiary qualification and/or relevant work experience, preferably in project management, communication, stakeholder management and administration
  • Bachelor's degree/ Diploma in Project management is desirable (and will be given preference)
  • extensive experience in developing and working on projects, including expertise in using strong administrative skills and computer literacy, alongside the ability to problem solve and work in a flexible and adaptable manner
  • leadership skills and experience with exceptional stakeholder management and autonomy of work
  • previous experience in higher education / tertiary work or at a complex and multi-faceted organization, as well as budgetary and financial management skills and experience (preferred, but not required)
  • excellent interpersonal, verbal and written communication skills with sound negotiating and conflict resolution skills and a demonstrated level of tact and discretion in dealing with day to day operational matters
  • ability to take initiative, achieving results through a commitment to excellence
