Nqpetro is a leading player in the fuel and energy industry, serving both the retail and commercial sectors. We are seeking a motivated and detail-oriented Project Support Officer to join our dynamic team. This role is pivotal in ensuring the smooth execution and success of our projects.
As a Project Support Officer, you will play a crucial role in assisting project managers and teams in the coordination, planning, and administration of projects. You will be responsible for maintaining project documentation, tracking progress, and ensuring effective communication among all stakeholders.
Key Responsibilities
- Project Coordination: Assist in the development and maintenance of project plans, schedules, and budgets.
- Documentation: Prepare, manage & submit project documentation, including reports, meeting minutes, project plans, technical data sheets, RFI’s and handover documents.
- Communication: Facilitate communication between project team members, stakeholders, and clients to ensure project alignment and progress.
- Tracking & Reporting: Monitor project timelines, milestones, and deliverables, providing regular updates and reports to project managers. Conduct regular reviews, addressing any issues promptly.
- Administrative Support: Provide administrative support to project teams, including scheduling meetings, coordinating travel, and managing project-related correspondence.
- Quality Assurance: Assist in ensuring that project deliverables meet the required standards and specifications, by implementing strict quality control measures throughout the project life cycle.
- Risk Management: Identify and report potential project risks and issues, helping to develop mitigation strategies.
- Support Tools: Utilise project management tools and software to track and report on project progress and performance.

About You:
- Qualification in Business Administration, Project Management, or related field.
- Minimum of 2 years’ experience in a Project Support or administrative role.
- Strong organisational and time management skills.
- Excellent communication and interpersonal abilities, capable of building rapport with the team, clients and stakeholders
- Experienced with electronic document management systems
- Proficiency in Microsoft Office Suite, PDF Editor, Aconnex, Omtrak and Procure as well as project management tools and software.
- Ability to work independently and as part of a team.
- Detail-oriented, high level of detail together with strong analytical skills.
- Familiarity with Defence Procurement Guidelines and Contracting processes.
