Qualifications & experience
- Previous professional services reception or administration experience is an advantage but not a requirement
- Excellent communication and people skills
- An aptitude for learning (previous legal experience is not a requirement)
Tasks & responsibilities
- Answering incoming phone calls promptly and directing calls as required
- Accurate message-taking and prompt communication of the message to the appropriate recipient
- Managing reception emails by responding to them or forwarding them to the appropriate staff member
- Meeting and greeting clients, assisting them with queries, and settling them into meeting rooms
- General reception duties demonstrating the ability to act as a positive ambassador for the firm
- Diary management
- Board room and client meeting room booking management
- Appropriate handling of confidential client information and documentation
- Responding to queries by email and correspondence
- General administration duties as required, such as data entry, photocopying, scanning, safe custody document management, filing, mail handling, and courier handling
- Management of the office reception area, boardroom, and client meeting rooms
