We are currently seeking a proactive and detail-oriented Scheduling Coordinator to join our industry-leading team based in Molendinar.
The Position:
As a Scheduling Coordinator, you will play a vital role in managing the scheduling of installations and measurements within our organization. Your ability to coordinate resources, ensure timely project completion, and maintain effective communication with clients, installation staff, and internal stakeholders will be crucial. This role is essential in delivering a consistent, high-quality customer service experience to all of our clients.
Key Responsibilities:
- Review formal notifications from clients indicating measurement and installation site readiness.
- Contact clients to negotiate alternate measure or install dates.
- Identify incomplete installations and communicate requirements clearly and accurately.
- Schedule jobs to their installation dates through ASANA and QuickBooks.
- Provide installation staff with weekly schedules for review.
- Phone clients to ensure job progress is on schedule and site access is available.
- Review and discuss installation details with staff to assess the completeness of the previous day’s installs.
- Manage project assignment of tasks in ASANA.
- Collaborate with the Production Manager to evaluate new incomplete jobs and determine correct routings.
- Liaise with Melbourne payroll as required.
- Coordinate maintenance schedules with clients and supervisors.
- Perform other ad hoc duties as requested by the Production Manager or State Manager.
Qualifications:
- Strong organizational and time-management skills.
- Excellent communication and interpersonal skills.
- Proficiency in ASANA, QuickBooks, and Microsoft Office Suite (highly desired but not essential).
- Ability to work independently and meet deadlines.
- Experience in scheduling or coordinating roles is preferred.
