Many of these are utilised to deliver Councils’ services to the Community as well as those from third party and other providers.This role provides an opportunity to work as part of the Facilities Maintenance team on the Frontline Service Desk. You will process invoices, track trends and consumption data for Electricity, Gas and Water usage at Council’s Buildings, Open Space and street lighting assets.In addition to assisting with administrative and business support to the team, the role will further enable the development of the incumbent’s customer management, data management, facility maintenance and incident triage skills. The position reports to the Program Leader Frontline Services working as part of the Engineering and Asset Services under the City Delivery directorate.Key Responsibilities
- Carry out goods receipting tasks and purchase requisitioning for Utility Retailer invoices for Buildings, Parks and Street Lighting. Record expenditure and consumption data by site and type using data management procedures and approved processes. Review trends and escalate discrepancies to the Program Leader.
- Receive completion notices, request for further information or other documentation from Contractors and Suppliers. Enter data into maintenance management systems and escalate follow up actions as required.
- Assist the Service Desk Maintenance Specialist with receipt and provision of desktop triage for routine and simple fault reports, assign work orders and purchase requisitions as directed to the In-House Services team or Specialist Trade Contractors and Suppliers.
- Assist the Access Systems and Compliance Officer with the processing of new access requests and the issuing of keys and access cards to approved recipients.
- Diploma or degree in an associated discipline; or lesser formal qualifications with extensive experience in a relative field.
- Experience working in a multi-disciplined team to achieve set objectives, specifically in the fields of facility management, maintenance and regulatory compliance.
- Excellent knowledge of Windows based applications and databases to produce a wide range of documents, data entry into relevant databases and filing systems for Facility Maintenance
