It is exciting to announce that due to company growth, we have a brand-new opportunity for a Site Administrator to join our team.
Purpose of the Role:
The Site Administrator is a critical role supporting the Project team and Project Manager. This role takes on a myriad of tasks including comprehensive administration support, staff management, coordination, and diary management.
Main Duties/Responsibilities:
- Preparing, editing, and submitting reports, specifications, correspondence, spreadsheets, and presentations to ensure that the highest quality editing and formatting are presented following branding guidelines.
- Attending project meetings and providing follow-up support, including preparing meeting notes, agendas, action lists, reminders, and actions items
- Responsible for coordinating and booking employee R&R flights (and accommodation if applicable) in accordance with the project roster, ensuring a "best fare of day" policy is approach is taken
- Responsible for ensuring the project roster is accurate and up to date on a daily basis, ensuring it matches the daily timesheet reports
- Responsible for auditing and collating daily timesheets and sending to the Accounts / Payroll team in a timely manner
- Assist with the management of the cultural activities calendar for the year e.g., awareness months, charity days etc and arm Project Manager with information for team briefings.
- Where required, arrange travel for project personnel in accordance with company policies and procedures
- Process expense account and approvals
- Oversee the day-to-day operations of the project office
- Assist in the compilation of Contract Close Out Reports as required
- Provide training/mentoring to other team members on correct project documentation procedures and standards.
- Responsible for site procurement activities such as ordering and tracking merchandise, stationary, goods and services etc in accordance with Catalpa Procurement policies and procedures.
- Responsible for the coordination of maintenance and services to assets, maintaining vehicle asset register, allocation of vehicles, and ensure IVMS is equipped to vehicles in accordance with client IVMS vehicle procedures.
- Responsible for ensuring compliance with Catalpa Policies & Procedures.
You will also have:
- Intermediate to Advanced Microsoft Office skills
- High attention to detail
- The ability to work towards and meet required deadlines
