Masters Swimming NSW is looking for an energetic, sports minded person to take on the role of administrator for our organisation of adult swimmers in NSW/ACT. The candidate should have a strong interest in sports administration and an ability to communicate effectively with stakeholders.
Background
Masters Swimming NSW (MSNSW) is the peak body promoting and administering adult competitive swimming for NSW & ACT representing approximately 50 clubs with over 1,400 members. MSNSW is a branch of Masters Swimming Australia (MSA) which has 7 branches Australia wide and over 300 clubs.
MSNSW is governed by a management board consisting of 6 directors. The board provides guidance to the Administrator to enable MSNSW to assist MSA meet its stated objective. MSA’s mission is to provide at club, state and national level an environment to encourage all adults, regardless of ability, to swim regularly and compete in order to promote fitness and improve their general well-being.
The position
The Administrator is key to the effective day to day operation of MSNSW. Responsible for servicing members, clubs and the Board of management, organisation administration, assisting with planning and other strategic activities, assisting with the administration of swimming events, handling all financial matters and web & social media activities. The administrator is responsible for the overall administration success of the organisation including.
- Administration of MSNSW’s annual calendar of events, memberships registers, agendas and minutes, communication to members and regulatory reporting
- Maintain and administer the MSNSW website
- Managing the office location and equipment
- Training and supervision of office volunteers
- Awards for presentations
- Program administration such as the million metre awards, aerobics program, postal swims, coaching and technical courses, records and Top 10 results.
- Coordinate the activities of the Board and provide support to Board and committees
- Source sponsorship and funding
- Develop, implement, and report on strategic objectives and organisation policies in conjunction with the board
- Administer events including sanction all MSNSW swim meets, produce programs for NSW championship meets, collect and collate entries for NSW championship meets, and organise trophies and medals for NSW championship meets
- Maintain records - Branch, Nationals and World.
- Handle all facets of financial and cash management including managing and reconciling the bank accounts, handling accounts receivable and payable
- Calculation and payment of wages and superannuation
- Grant management
- Preparation of monthly reports, including Profit and Loss, Balance Sheet
- Assist with budgeting and other financial regulatory reporting

Essential Requirements
- Be able to work on their own under the guidance of the Board
- Ability to work a limited number of evenings and weekends as required
- Current drivers’ licence
- Demonstrated ability to work in Australia
- Ability to effectively communicate with members
General conditions of the role
- Salary: By negotiation with the successful candidate depending on experience
- Hours of work: Working an average of 30 hours per week. The daily hours will be negotiated with the Board of Management.
- The office is in Olympic Park NSW and the successful candidate can combine office based and working from home arrangements.
- All annual leave to be taken during non-busy periods
- A job description and contract will be provided with a yearly performance review being conducted by the President or delegate.
