Are you our next Super Support Person?

Connect My Community is an NDIS consultancy founded by Phuong Barraclough, an NDIS expert who has helped hundreds of businesses become high-quality, registered providers. Over the last year, we have developed and grown a new and unique service through our Super Support Team.

We work with small person-centred providers in the NDIS and NDIS participants who maintain their employment through their own businesses. Most of our clients are from diverse backgrounds and minority groups. They are disabled, neurodivergent, migrants, have serious mental health or chronic illnesses, are queer. Many are women; some are single mothers. Our team consists of a similarly diverse crew.

Our Super Support Team provide comprehensive, daily business support to our clients. The scope of work ranges from basic day-to-day admin and data entry to compliance and audit support. 

What makes our team super and unique is our skillset. Underpinned by compliance expertise in Phuong, and strategy and operations support in our GM Sam, we can help our clients with a range of needs to keep their business running smoothly.

We have an opportunity for new team members to join us in Wollongong and Melbourne!

About You

You are very experienced in administration, with a background in small-to-medium-sized businesses and in the healthcare, disability, aged care, and government sectors. This experience means you get what it's like in a Small Business – needing to be multiskilled, thinking on your feet, troubleshooting and dynamic. You also get the red tape and compliance that comes with operating in a government-funded industry.

You are probably someone everyone says is a gun, a star, amazing. Your colleagues come to you for support because you can always find the information or file, fix the computer issue, show them how to use a system and figure out a problem. You're that go-to person.

Even though your team LOVE you, you really love it when you get to work in some peace. When you get time and space, you get into the work, are really productive and feel satisfied. You're You'remous and driven to achieve your outcomes.

Then, you probably miss everyone and are ready to catch up with a cuppa again.

You soak up information like a sponge, and every experience you have at work is a learning experience. 

You love tinkering with new systems and processes and can navigate the bumps in the road they bring, even if they drive you a bit bonkers.

Your skills and experience

Right, so this is a long list! We are not looking for one person to bring all these skills; we want to build a diverse team that compliments each other. What we need in this team is people who have the following:

Experience

  • Rosters, finance and HR
    • Rostering – especially complex or 24/7 rosters
    • Managing confidential information
    • HR administration, including recruitment, onboarding paperwork, and assistance with documenting employee management, training and incidents
    • Invoicing
    • Checking timesheets and preparing payroll
  • Business administration and assistance
    • Answering calls, handling urgent queries and taking detailed messages
    • Creating and formatting templates
    • Writing correspondence
    • Managing inboxes and helping prioritise and clean up emails
    • Managing a diary and coordinating all appointments
    • Setting up and managing filing systems
    • Setting up and using eSignature systems like DocuSign, Dropbox sign
    • Coordinating projects
    • Setting up and rolling out systems
  • Quality control and continuous improvement
    • Mapping processes
    • Writing standard operating procedures for your tasks and job
    • Doing internal audits and reviews
    • Formatting and updating policies, procedures and critical documents
    • Continuous improvement, mainly updating registers and recording feedback/inputs to the register
  • Marketing
    • Creating social media tiles and captions
    • Setting up newsletters in systems like Mailchimp
    • Updating website content and blogs
    • Coordinating collaterals like brochures, banners, business cards
  • Personal attributes
    • Excellent, clear communication 
    • Very high attention to detail
    • Take pride in the high quality of your work
    • Excellent independent time management 
    • Enjoy being part of a team and contributing to the team with support and feedback
    • Ability to motivate yourself and work autonomously
    • Creative thinker who can troubleshoot problems

    • Not afraid to ask questions and get clarity on your work or tasks
    • Driven to keep learning and growing
  • Technical Skills
    • Excellent with Microsoft Office, especially Word, Excel and Outlook
    • Confident picking up new systems and software and adapting to changes or new releases
    • Solid systems knowledge relevant to your experience, e.g.
      • rostering systems and/or participant management systems
      • finance/bookkeeping and payroll systems like Xero or MYOB
      • HR employee management systems
      • CRMs and newsletters like Mailchimp, Hubspot, ActiveCampaign, Pipedrive, Infusionsoft
      • Canva
      • Adobe Acrobat PDF
      • Adobe Creative Suite
      • WordPress, Squarespace or WIX websites

This casual and flexible role starts at around 20 hours per week. We hope to make it a permanent part-time role if you want to grow with us. 

It's idIt'sif you are working around family life and other commitments. Our only non-negotiables are a couple of weekly meetings, which can be attended virtually, and ensuring if you agree to a deadline, you achieve it. 

We offer hybrid work, which will be split between your home and the home office of either our CEO Phuong in Wollongong or our GM Sam in north-eastern Melbourne. We want you to be able to work with us to get training and support in person and to have the choice of working alone or with a colleague, depending on what best suits you.
