About the Role:
We are seeking a dynamic and dedicated Meetings & Events Coordinator to join our team. This full-time position, from Monday to Friday, involves orchestrating a variety of events at our premium venue. The role requires a proactive individual who excels in managing corporate events, social functions, weddings, and more, while fostering strong relationships with our Members. The ideal candidate will have a keen eye for detail, a passion for hospitality, and the ability to meet KPIs.
Key Responsibilities:
- Coordinate and manage all aspects of events, from initial planning to final execution, ensuring the client’s objectives are met.
- Work closely with clients to understand their vision and requirements for their event, and provide support throughout the planning process.
- Coordinate with external vendors to ensure seamless collaboration and delivery of services
- Work closely with Front of House team to oversee set up, ensuring all elements are organised according to client’s expectations
- Manage event budgets, financial transactions, including contracts and payments
- Coordinate and communicate effectively with other Club areas, ensuring all logistical requirements are met
- Liaise with Club Events department and collaborate with major Club events planning when needed
- Prepare event run sheets, floor plans, seating plan, client proposals, client agreements and invoices.
- Support team efforts to achieve sales targets and KPIs.
- Communicate effectively and professionally with clients to ensure smooth event execution, high client satisfaction and exceptional customer service
- Conduct venue inspections, client meetings and ensure all details meet the highest standards.
- Create bespoke experiences for Members when needed, ensuring every request is met with exceptional service.
- Establish and nurture long-term relationships.
The successful candidate will demonstrate:
- A minimum of 2-3 years of experience in event coordination, preferably within a high-end venue, hotel, or private members club.
- Proven ability to plan and execute a variety of events with meticulous attention to detail.
- Strong sales skills with a track record of meeting and exceeding targets.
- Excellent communication and interpersonal skills, capable of building lasting Member and client relationships.
- Team player qualities, thriving in a collaborative environment while being able to work autonomously.
- Highly developed organisational skills, with strong time management and ability to thrive in a high-volume work environment, managing multiple projects simultaneously.
- Passion for the hospitality industry and a commitment to delivering exceptional guest service.
- Proficiency in event management software and the Microsoft Office Suite.
- Strong problem-solving and decision-making abilities, with the capacity to handle stressful situations with composure and professionalism.
- Flexibility to occasionally work outside regular hours, as required by event schedules.
- Attention to detail and a passion for creating memorable experiences.
- A positive attitude, creativity, and a commitment to delivering exceptional customer service.
Education
- Bachelor’s degree Or Diploma in Events or similar preferred
