A not-for-profit, the Australian National Fabrication Facility (ANFF) was established in 2007 under the Australian Government’s National Collaborative Research Infrastructure Strategy (NCRIS). Through a network of eight Nodes, ANFF links 20 universities and CSIRO. We provide researchers and industry with access to $500 million dollars of state-of-the-art micro and nano-fabrication facilities and the expertise to go with it.

ANFF is working across the NCRIS network to link 28 research infrastructure organisations, and to build stronger connections through deeper understanding of how we can collaboratively support Australia's research, development and translation for the benefit of all Australians.

The Position

As the Research Infrastructure Connected Events Coordinator, you will be responsible for:

  • coordinating the planning and organisation of major and minor events, including internal and external NCRIS Roadshows and Showcases, public lectures, community workshops and other events, 
  • provide professional assistance on events to ANFF and other NCRIS organisations. 
  • contribute to and create marketing collateral, communications and promotion related to events. 

You have experience in end-to-end event management processes to deliver large scale events and are confident working with groups of internal and external stakeholders who often have their own competing deadlines and objectives. You thrive working in a close-knit team and can manage your time to deliver assigned tasks as well as the ability to confidently use technology and are always looking for ways to innovate and improve.

Previous experience in the NCRIS or university sector and using event management systems will be highly regarded.

Key Duties and Responsibilities

Some key responsibilities include:

  • Event Planning: Identify and pursue event opportunities, partnerships, sponsors and exhibitors ensuring that they engage target constituencies and support NCRIS and Research Infrastructure Connected’s strategic goals.
  • Logistics Coordination: Manage logistics for events, including equipment rentals, exhibitions, transportation arrangements, signage placement, and accommodation for guest speakers or participants.
  • Stakeholder Communication: Maintain regular communication with relevant staff within the NCRIS network and event stakeholders, such as research infrastructure organisations, industry groups, universities, facilitators and speakers, providing updates and addressing concerns.
  • On-Site Management: Oversee allocated aspects of event operations on the day of the event, coordinating event staff, volunteers, and vendors to ensure smooth execution.
  • Risk Assessment: Identify potential risks or issues related to the event and develop contingency plans to address them, ensuring the safety and security of attendees.
  • Post-Event Evaluation: Contribute to post-event evaluations to assess the success of the event, gather feedback from attendees, and identify areas for improvement in future events.

Key Skills and Attributes

  • A degree in marketing, event management or a related discipline combined with extensive experience in marketing and events within a large organisation; or an equivalent combination of relevant experience and/or education/training.
  • Excellent project management skills with experience in the planning and delivery of medium to large scale events, and the ability to manage multiple projects at one time.
  • Demonstrated relationship building skills, with the ability to develop effective relationships with internal and external groups at all levels.
  • High level written and verbal communication skills to confidently communicate with stakeholders.
  • Ability to take initiative, but also to work cooperatively and collaboratively.
  • Ability to prioritise own workload, work independently and meet deadlines.
  • Highly developed computer literacy, including experience using business software such as Microsoft 365 and CRM software and the ability to learn new programs quickly.
  • A working knowledge of marketing and brand principles, including the ability to work with a range of staff (including graphic designers and web developers) to produce marketing materials.

Other Job Related Information

  • Interstate travel may be required.
  • ANFF HQ is a distributed workgroup with staff currently in Brisbane, regional Queensland, Melbourne and Adelaide.
  • Overtime and out of hours work (including evenings, weekends and public holidays) may be required.
  • There may be peak periods of work during which the taking of leave may be restricted.
  • This is a full-time position, but flexible arrangements can be considered.
