Role Overview:
As an Administration Assistant you will work closely with both the Accounts and Operations teams in ensuring the smooth functioning of our daily business operations. Your attention to detail and commitment to accuracy will contribute significantly to our continued success.
Responsibilities:
- Conduct efficient and accurate data entry tasks.
- Scan and upload documents for easy accessibility.
- Maintain Purchase Orders (POs) in our system.
- Organise and file completed site paperwork, ensuring easy retrieval.
- Perform audits on site paperwork to ensure compliance.
- Manage and publish invoices from HubDoc to Xero.
- Verify the accuracy of invoices before sending them to clients.
- Maintain up-to-date and easily accessible records.
- Handle correspondence and emails promptly and professionally.
- Provide exceptional customer service and greet visitors warmly.
- Ensure services adhere to company policies and procedures.
- Manage credit accounts efficiently.
- Perform ad hoc duties as required.
Requirements:
- Proven experience in administrative support roles.
- Strong attention to detail and accuracy.
- Proficiency in data entry and document management.
- Excellent organisational and time management skills.
- Ability to multitask and prioritise tasks effectively.
- Flexibility and adaptability to changing priorities and deadlines.
- Xero and HubDoc experience will be highly regarded.
