Your role

The best lawyers need the best business partners. At Allens, our business teams are also specialists in their field, using their unique knowledge and expertise to solve critical client and business challenges.

You'll be a part of our Company Secretariat team based in Melbourne. In this role, you will be tasked with providing Administration support to a high performing team of Company Secretaries and Paralegals who provide company secretarial services to internal and external clients of the firm.

As an Administration Assistant, you will be responsible for:
Company name reservations, renewals and cancellations
Business name registrations and renewals
Annual company review
Maintaining physical and electronic statutory registers of companies and trusts
Maintaining client and matter checklists
Monthly billing, including e-billing platforms (e.g. CounselLink, Serengeti, Tymetrix 360, etc.)
General filing, file maintenance and archiving
Other administration tasks as required

This is a full-time, 12-month contract however flexibility matters at Allens, so if you are seeking hybrid working or are looking for flexibility in your work, we would be happy to discuss what arrangements would work best for you.

About you

You will have:
Experience working in an administration or support role within a professional services environment e.g. accounting, legal, banking, finance
Experience utilising an e-Billing platform ideal, although not essential – we can train!
A basic understanding of general compliance
Proficiency in Microsoft office suite, specifically Excel & Word
A proactive approach to problem solving
A flexible & willing attitude with a desire to learn
An ability to maintain the highest level of confidentiality at all times
Demonstrated customer service focus with well-developed stakeholder management and relationship building skills
An ability to work in a dynamic and, at times, high pressure environment
