The Wilsonton Heights Neighbourhood Centre is situated at 14 Wine Drive, Wilsonton Heights, Toowoomba, Queensland and is an initiative of Safer Toowoomba Regional Partnerships Inc., a not-for-profit organisation. Funding is received from the Department of Treaty, Aboriginal Torres Strait Islander Partnerships, Communities and the Arts to deliver socially inclusive programs, events and referrals to members of the community.

 POSITION OBJECTIVE 

The Administration Officer in Community Services will be responsible for a wide range of duties including responding to client and customer enquiries, providing a high degree of administration support to the Centre Coordinator, providing administrative support to a variety of stakeholders including members of the community and other Safer Toowoomba Regional Partnerships Inc. staff and volunteers as required. This position will work under regular supervision. 

POSITION RESPONSIBILITIES 

  1. Provide excellent customer service in a caring and supportive manner to a wide range of people, whilst maintaining client and customer confidentiality. 
  2. Ensure clients and community members are treated in a courteous and professional manner in such a way that leaves the client feeling valued.
  3. Collect, collate and maintain accurate records, document and record data and assist in compiling a variety of reports.
  4. Ability to work both alone and as part of a team while exercising sound judgement, initiative, confidentiality and sensitivity.
  5. Assist with the planning, creation, delivery, evaluation and reporting of program projects, events, activities and resources. 
  6. Follow the program guidelines of  Wilsonton Heights Neighbourhood Centre (WHNC) to meet the requirements as set out in the Service Agreements between WHNC and the Department of Treaty, Aboriginal Torres Strait Islander Partnerships, Communities and the Arts.
  7. Maintain statistical information as required by the Coordinator to meet the Queensland Government Departmental requirements.
  8. Provide a high degree of support to the Coordinator, show initiative, maintain confidentiality and sensitivity when handling all aspects of the employment.
  9. Assist with funding grant submissions, research and acquittals as required. 
  10. Administer Emergency Relief Funding whilst maintaining client confidentiality and privacy, maintaining accurate records for acquittal purposes.
  11. Prepare routine letters and correspondence for Coordinator's signature.
  12. Act as Minute Secretary for monthly meetings of the Wilsonton Heights Neighbourhood Centre and Safer Toowoomba Regional Partnerships Inc. 
  13. Plan and prioritise own work to meet different and changing deadlines. 
  14. Provide administrative support to other staff and volunteers as required.
  15. Carry out other duties that are reasonably within the limits of the employee’s skill, competence and training as required. 

POSITION SUCCESS CRITERIA

  1. Qualification(s), training and/or experience, specific to the position:
    • Possession of a Year 12 education, or a combination of experience, qualifications and competencies, which enables the successful applicant to perform all duties of the position.
    • Current ‘C’ Class Driver’s Licence.
    • Possession of, or ability to obtain a National Police Check, Blue Card, First Aid and Mental Health First Aid qualifications are desirable.
  2. Interpersonal and Communication Skills:
    • Excellent verbal and written communication skills with the ability to effectively communicate with a wide range of internal and external stakeholders with empathy and sensitivity.
  3. Outcome and Result Focused:
    • Ability to capture, record and produce report data.
    • Demonstrated organisational skills with the ability to plan, organise and prioritise own work and meet deadlines whilst undertaking a range of administrative and other duties as required.
    • Ability to provide a range of administrative and physical supports to the Centre Coordinator and WHNC Staff to ensure the services offered are delivered in a timely and effective manner.
  4. Technical Skills/Knowledge:
    • Ability to develop a sound knowledge about policies, procedures and service and funding agreements relevant to the work area with the ability to exercise initiative in solving problems with support from the Centre Coordinator as required.
    • Ability to develop knowledge of the statutory requirements relevant to the services provided.
    • Ability to effectively utilise the Microsoft Office suit with the ability to learn and use other programs such as Procure to Invest (P2i) and Human Services Quality Framework.
    • Proven and demonstrated ability in successful grant writing.
    • Knowledge in delivering emergency relief.
    • Demonstrated ability to work in a team environment and uphold the values and behaviours of the organisation.

STAFF TRAINING/PROFESSIONAL DEVELOPMENT

WHNC supports staff to undertake professional developments and training activities as part of their work function (subject to budget requirements). Employees are to discuss options with the Coordinator in the first instance. The coordinator can refer the requests to the WHNC Committee for consideration if the request is outside current budget allocations.

SALARY AND AWARDS

  • Please note that this position is reliant upon service agreement funding received by the organisation. If this funding were to cease, the Wilsonton Heights Neighbourhood Centre may not be able to maintain this position. 
  • All new workers are under a (3) three months probationary period.
  • The position funded under the Community Support Services program will be SCHADS Level 3 plus entitlements, depending on qualifications and/or experience.
  • Extra hours worked will be reimbursed with Time off in Lieu, as approved.

ORGANISATIONAL RELATIONSHIPS

  • The position reports to the Centre Coordinator - Wilsonton Heights Neighbourhood Centre
  • Internal Liaisons – Wilsonton Heights Neighbourhood Centre Management Committee Members, WHNC Program Officers, staff and volunteers, Safer Toowoomba Regional Partnerships Inc. Executive Committee.
  • External Liaisons – Community groups, service providers and government/non-government agencies staff and volunteers, other Neighbourhood Centre Staff and Volunteers, media personnel, vulnerable individuals, families, and the broader population of the Wilsonton Heights and surrounding community.
