Permanent Part Time – 4 days per week
About the Organisation
The Nan Tien Temple, or “Southern Paradise” is a Buddhist temple located in Berkeley, NSW. It is known for its breathtaking architecture, tranquil gardens, and rich cultural and spiritual heritage. The temple serves as a place of worship, meditation, and education for both the local and international communities. As a non-profit organisation, Nan Tien Temple also actively engages in various social welfare activities to promote harmony, compassion, and understanding among people from all walks of life.
The Role
We are currently seeking a reliable and motivated Administrative Assistant to join our team in the Tour Department. This role will involve booking and coordinating tours for schools and general public visitors, scheduling tour guides, answering emails and phone calls, as well as logging payments and following up invoices. The successful candidate will also be helping to set up any cultural activities as a part of a tour group's visit and assisting the Temple with educational and cultural programs when required.
Responsibilities
· Responding to phone and email inquiries from schools and general public visitors
· Making tour bookings and maintaining accurate records of bookings and payments
· Following up on invoices and ensuring timely payment
· Scheduling tour guides and coordinating cultural activities for tour groups
· Maintaining record management and weekly/monthly reporting
· Assist Supervisor by drafting various correspondences when required
· Provide assistance for the implementation of educational and cultural programs when required
· Maintaining a high level of customer service and professionalism
· Performing other administrative tasks as required
Skills & Experience
· Excellent communication and customer service skills
· Excellent organisational skills with a strong attention to detail and accuracy
· Ability to work independently and as part of a team
· Positive and empathic communicator, able to confidently and respectfully liaise with people from all walks of life
· Proficient written communication to draft correspondence
· Proficiency in Microsoft Office suite particularly Excel and other relevant software
· Ability to work under pressure and effectively prioritise competing tasks
· Proactive, flexible with an ability to anticipate and address problems within the role
· Experience in a similar administrative role preferred
