YOUR ROLE
Reporting to the Chief of Staff, and working closely with other members of the administrative team, the Administrative Assistant will be responsible for providing high-level administrative support in an accurate and timely manner across the Office of the Executive Director. The position will help to prepare correspondence, reports, and presentations for meetings, including updating and managing of resources and communication working to support the smooth running of the team. The role will require a high level of initiative, motivation, and professionalism to efficiently handle a range of diverse tasks. The incumbent will have strong administrative skills, excellent communication and interpersonal skills, and the ability to balance priorities and competing demands in a busy organisational environment.
WHAT YOU WILL DO
- Respond as first point of contact to a broad range of incoming enquiries that require an excellent understanding of the organisation and key stakeholders both internal and external
- Provide administrative support, which may include the preparation of daily schedules and any documentation and pre-reading in a timely matter
- Support the teams with preparation of materials including formatting, proofing and record management
- Liaise with internal and external stakeholders to coordinate and attend meetings
- Summarise and prepare detailed and accurate agendas, minutes, memos and correspondence in keeping with MACS policy and protocols
ABOUT YOU
- Exceptional written and verbal communication and listening skills, with a high degree of professionalism
- Strong attention to detail with the ability to easily spot errors, omissions and issues
- Excellent digital skills with strong competency in the use of Microsoft Office suite (Excel and/or Power BI data knowledge well regarded) including the ability to create well formatted slide decks and letters.
- Strong capacity to establish and maintain positive working relationships within a team environment, and with stakeholders across levels both within and external to MACS
- Consistent adherence to confidentiality requirements and the ability to appropriately handle sensitive data
