Job Overview
  • This role is a part-time to full-time position for a Medical Administrative Receptionist.
  • Medical administration receptionist experience is required. 
  • Remuneration is negotiable and will be based on experience.
  • The successful candidate will mostly collaborate face-to-face with clients in our inner northeast and southeast consulting suites.
  • A six-month probationary period applies. 
  • The receptionist will work both in the clinic and from home on non-clinic days as needed.
  • The company will provide you with a Laptop and scanner. Additionally, you will receive partial reimbursement for your home internet expenses.

The medical services provided by Aria Health are in growing demand, and we are expanding the practice to meet this. We seek a dedicated and professional Administrative Receptionist to join our team at Aria Health and help improve our client's health and quality of life.     

Position  description     

The role's key purpose is to provide an excellent customer experience to Aria Health clients as a receptionist and administrative support to Aria Health doctors so they can provide excellent healthcare for their patients.    

The successful applicants will be required to coordinate and carry out office administration tasks, including:  

  • Delivering a high level of customer service with patient inquiries at reception and over the phone or email, ensuring patients are received promptly, courteously and professionally.
  • Maintaining patient appointments, electronic records, referrals, scanning, opening, setup and closing of clinics
  • Communicating with patients/families/GPs/residential care facilities and other stakeholders
  • Maintain doctors' schedules and calendars, including scheduling consultations.
  • Timely preparation and delivery of patient information and medical records
  • Coordinates referrals for appointments through Gentu
  • Ensures that follow-up appointments are scheduled within nominated timeframes. 
  • Be an escalation point for doctor and patient complaints  
  • Ensure Practice stationery and stock supplies are maintained  
  • Comply with Aria Health's quality management system  
  • Receiving and lodging payments from patients, including Medicare claims
  • Administrative support to the doctors as required and troubleshooting issues
  • Working with the team to ensure all tasks are completed in a timely manner to a high, accurate standard
  • Assist in the management, direction, and operation of the reception desk to ensure   quality service outcomes to both doctors and patients on a day-to-day basis while achieving cost and productivity targets  
  • Initial troubleshooting for staff 
  • Ensure that the medical centre facilities are always clean and tidy. Maintaining areas, supplies, equipment, and the environment.   
  • Participate in training and performance management programs to ensure continuous improvement in service standards.  

Skills, qualifications and experience  

We seek a reliable, flexible and professional medical Administrative Receptionist with excellent customer service, communication and problem-solving skills who can cater to the needs of older clients and busy doctors.    

The successful applicant must have:  

  • Previous medical administration and secretarial experience, including knowledge of practice management software and Medicare billing.
  • Proficiency with Microsoft Office and typing skills. 
  • Strong customer service, communication, teamwork, and interpersonal skills; and
  • Strong skills in organisations, prioritisation, and attention to detail
  • Ability to work independently
  • A quiet and confidential space to work
