Breffni Group is a Commercial Construction company specialising in new builds, refurbs, fitout and development.
Position Purpose
To work within the Breffni Group team to provide accounting and administration support as well as coordinating and assisting with developing high quality, creative, compelling proposals as required. Ensure the office facilities are kept to a high service level as well as general office management to ensure the office runs smoothly. provide administration support to the WA office as required.
Duties and Responsibilities
General office management. Provide administration support to Projects team.
Assist with preparation and management of purchase orders.
Assist with coordination of contractor quotations for review.
Assist Project Manager in compiling Operation Handover Manuals.
Competent in file management in line with company processes.
Ensure the office facilities are kept to a high service level e.g. kitchen, meeting rooms, stationery and printing areas, reception etc.
Assist with ordering stationery, kitchen supplies and printer consumables.
Ensure office equipment is well stocked and working ie. Photocopier, Coffee Machine etc.
Organise couriers, handle incoming deliveries and all mail related duties.
Assist with uniform ordering and distribution as required.
Assist in set up of IT hardware for employees onboarding.
Events Co-ordination when coordinating company events, meetings e.g. arranging catering.
Meet and greet clients in a friendly and professional manner, providing water, tea & coffee.
Processing of Purchase Orders.
Coordinate the day-to-day aspects of the end to end bid and tender submission process.
Liaise with key internal stakeholders to manage completion and delivery to deadlines.
Produce high quality professional expressions of interest, proposals and presentations as required.
Assist with other marketing collateral.
Support Sales team as required.
Qualifications, Skills and Experience
Previous experience within administration.
Intermediate skills in Microsoft Office Suite.
Minimum 3 years demonstrated tender/proposals experience in construction preferred.
Ability to deal with a variety of stakeholders both internal and external.
Exceptional organisational skills.
Advanced skills in InDesign, Adobe Acrobat and Adobe Creative Suite.
A thorough understanding of the tender process.
Demonstrated ability to meet crucial deadlines and work under pressure.
Exceptional written and outstanding interpersonal skills.
Willingness to assist and support others as required and work well within a team.
