About the Role - The Role of the College Administration Officer is critical in the support the College Leadership Team who provide leadership within the context of the Gospel vision and Catholic traditions. It involves working closely with the nine members of the team in order to provide executive support processes involving a range of secretarial and administrative duties. A high level of organisational skill with a commitment to forward planning is required to ensure that the processing of correspondence and the prioritisation of tasks to meet deadlines in a complex work environment are effectively managed. It requires that confidential issues are managed with discretion and sensitivity.
Typical Duties/skills:
- Executive Support: managing the Principal's diary, handling calls, arranging meetings, and providing secretarial support.
- Coordinating travel, drafting correspondence and updating documents.
- Administrative Support: assisting in event organisation, regulatory compliance, and data management. Responding to inquiries and supporting Leadership team.
- Assisting with marketing, hospitality, employee services, and recruitment tasks.
- Managing leave, overseeing online training, and maintaining general administration tasks.
- Hospitality: Meeting and hosting visitors to members of the College Leadership team. Making arrangements and setting up for meetings and interviews.
- Assisting with preparing job descriptions and advertising of new positions.

- Possess excellent organisational and interpersonal skills
- Able to work within a highly confidential environment
- Can take initiative, and introduce processes which support the work of the College Administration team
- Possess excellent time management skills and attention to detail
- Flexibility in work hours to assist with occasional after-hours events
- Well developed ICT skills and experience in developing eectronic and paper filing systems
- Friendly and adaptable
