Our client is a thriving small family business that is part of essential services and is currently going through an exciting expansion phase.
They service the fire protection industry with both installations and maintenance contracts.
With new business on the horizon, they are looking for an additional Project Administrator to join their growing team in Melbourne's northern suburbs.
The main duties will include:
- Preparing scopes of work
- Preparing monthly cost reports and forecasts in Simpro
- Weekly Debt Collection and reporting
- Maintaining SimPro database System
- Maintain accurate project documentation.
- Allocate costs in Simpro i.e invoices to jobs for labour, equipment, and materials.
- Deal with any variations or contractual matters that arise.
- Head and subcontractor variations, progress claims and invoicing.
- Liaise with key stake holders such as the client subcontractors and suppliers.
- Financial management including progress claims and variations,
- Tracking project costs, expenditures and budgeting.
- Assist the team to Negotiate and review subcontract tenders.
- Produce and maintain a procurement schedule that matches the program.
- Preparation of accurate payment schedules in Simpro/Payapps.
- Assist in management and tracking of project expenditure against budget.
- Assist with staff and subcontractor site inductions.
- Handling of timesheet data management in Simpro
- Assist with project set up, Support the full life cycle of projects including SWMS, safety documentation and insurance submissions.
- Assist issuing monthly progress claims, collate site information for works complete and forecasted works to complete by end of month
- Manage project documentation and information on shared One Drive
- Assist the team with Tender submissions, quoting and estimating and Support project managers and team members in day-to-day activities.
- Managing a high volume of purchase orders, supplier invoices and project invoice compiling
- Provide direct project related administrative support to the team
- Manage phone and email correspondence.
About you:
We are looking for a team player, with experience in project administration within either Fire Protection or the Construction sector. This role is mainly working with the construction team in an office environment, and working closely with project managers to assist setting up construction jobs, invoicing, enter costs, order materials, enter hours on site etc.
The role is mainly collating the data for each job into Simpro and working closely with the team to manage the project from start to end.
Preferably, someone with a fire background however but will consider someone from project construction. Working knowledge of Simpro is a massive bonus too.
