About The Role
We are seeking an Office Administrator to assist in the smooth day-to-day operations of the business.
As the Office Administrator, you'll play a pivotal role in coordinating our daily operations, ensuring seamless communication and efficiency across departments.
Responsibilities will include:
- Providing administrative support to project and service staff by managing staff schedules, processing orders, and coordinating deliveries through our warehouse team.
- Maintaining accurate records on IT systems, such as bill entry on Xero, project documentation on Buildxact, and company CRM systems.
- Ensuring compliance with company HR policies, including managing staff leave, processing timesheets, overseeing fleet management, and ensuring industry compliance for qualified staff.
- Monitoring stock levels in collaboration with warehouse staff, tracking material usage, and ensuring necessary materials are available to staff.
- Assisting in maintaining company social media accounts and updating website information.
- Providing administrative support to estimating and project management by preparing documents and reports as needed.
- Managing general office administration, including answering the telephone and monitoring company emails.
About You
The successful candidate should;
- Have previous experience in a senior administration role within a similar industry.
- Have proficient experience using Microsoft office
- Have experience in scheduling staff as per project management requirements.
- Have prior experience in using accounting software such as Xero.
- Be able to manage and prioritise competing demands across different departments and live projects
- Be able to ensure staff compliance with company policy and procedures.
- Be confident in their ability to lead staff, problem solve and work on their own initiative
- Have excellent verbal and written communication skills.
- Be organised with good attention to detail.
