Our Benalla manufacturing site is located in regional Victoria, 2.5 hours north of Melbourne’s CBD. Close to ski fields, wine regions, hiking trails, rivers, and campgrounds, there is plenty to see and do. We are currently seeking a highly organized, detail-oriented and customer centric individual to join our team as a Contract/Order Specialist in our Benalla manufacturing plant. In this role, you will be responsible for managing and processing orders and contracts efficiently and accurately through its entire life cycle. The successful candidate will have excellent stakeholder management & communication skills, a strong attention to detail, the ability to create meaningful experiences and build lasting customer relationships.
As a Contract/Order Specialist, you will play a critical role in developing strong relationships with both internal and external stakeholders. Ensuring the smooth operation of our ordering and contracting processes, you will be responsible for reviewing and verifying customer orders, entering them into our system, monitoring them through all phases of delivery from procurement, planning, production, delivery & aftercare. You will be required to follow up with any necessary technical clarifications or modifications. Additionally, you will be responsible for maintaining accurate records of all orders and contracts, as well as resolving any discrepancies or issues that may arise.
Key Responsibilities:
- Maintain regular contact verbally and in writing with each customer
- Review and process customer orders or contracts in a timely and accurate manner
- Coordinate with internal teams to ensure smooth order fulfillment and delivery
- Resolve any warranty or discrepancies related to orders or contracts
- Maintain accurate records and documentation of all orders and contracts
- Provide excellent customer service by addressing inquiries and concerns related to orders or contracts
- Provide timely updates on the orders to customers and notify them of any delays
- Attend & participate in daily SIM meeting
- Provide updates to PM lead for upcoming deliveries and forecasting monthly sales
Required Skills and Qualifications:
- Tertiary qualifications not required, but preferable
- Proven experience in order management or contract administration
- Strong attention to detail and excellent organizational skills
- Excellent communication and interpersonal skills
- Ability to multi-task and prioratise works
- Proficiency in using order management systems and Microsoft Office suite
